Job summary

Vaco is hiring for a Sr. Corporate Payroll Specialist opportunity in Monroe OH

Salary: $30-35.00/hr


Position Summary

The Corporate Payroll Senior Specialist supports the preparation, processing, administration, reporting, and distribution of field payroll across multiple companies and domestic and international locations. This role ensures accurate calculation of wages, overtime, prevailing wages, union rates, garnishments, deductions, and benefits while maintaining compliance with federal, state, local, and international payroll regulations.


Key Responsibilities

Payroll Administration


  • Assist with the preparation, processing, and distribution of field payroll for multiple companies and locations.

  • Calculate and verify wages, overtime, prevailing wages, union rates, garnishments, deductions, benefits, and other payroll adjustments.

  • Ensure payroll is processed accurately and timely in accordance with applicable federal, state, local, and international requirements.

  • Maintain payroll-related records, files, and electronic databases.

  • Ensure accurate deductions for union, garnishment, benefit, and other employee-related expenses.

  • Process payroll adjustments required to comply with Davis-Bacon and other prevailing wage requirements.

  • Respond to wage verification, certified payroll, union reporting, unemployment reporting, and CIP reporting requests.

  • Assist with international and Canadian payroll processing as needed.

  • Support the Payroll Manager with special reports and payroll-related projects for senior management.


Payroll Systems & Process Improvement


  • Utilize payroll and field payroll systems, including Vista and Paycor, to support accurate and efficient payroll administration.

  • Implement and maintain payroll procedures designed to improve accuracy, efficiency, and compliance.

  • Identify opportunities to improve payroll workflows, processes, and controls.

  • Maintain accurate payroll-related system data and documentation.


Compliance & Regulatory Requirements


  • Ensure proper application of federal, state, local, and international payroll taxes and withholding requirements.

  • Monitor changes to payroll laws, regulations, and industry requirements.

  • Maintain compliance with applicable wage, tax, union, prevailing wage, and payroll regulations.

  • Support payroll audits, reporting requirements, and compliance reviews.


Required Qualifications


  • High school diploma or equivalent.

  • 5+ years of related payroll experience and/or training.

  • Associate degree preferred.

  • Certified Payroll Professional (CPP) designation preferred.

  • Strong knowledge of payroll processing, wage calculations, deductions, taxes, garnishments, and payroll compliance.

  • Experience with Microsoft Office, particularly Excel and Word.

  • Strong written and verbal communication skills.

  • Strong customer service and interpersonal skills.

  • Ability to work effectively in a team environment.

  • Strong analytical, organizational, and problem-solving skills.

  • Ability to interpret written, oral, technical, and regulatory instructions.

  • Ability to manage multiple priorities while maintaining accuracy and meeting deadlines.


Preferred Qualifications


  • Experience with Vista and Paycor payroll systems.

  • Experience with union payroll and union reporting.

  • Experience with Davis-Bacon Act and prevailing wage requirements.

  • Experience with certified payroll reporting.

  • Experience supporting multi-company, multi-state, or international payroll.

  • Experience with Canadian payroll is a plus.

  • Experience in construction, contracting, or another project-based environment is preferred.
