Job summary

Aldridge Electric is seeking a Senior Payroll Coordinator to lead in-house weekly payroll processing, ensure accuracy, timeliness, and regulatory compliance across pay cycles, and handle complex allocations and tax reporting.

You will maintain employee master files, manage 401(k) contributions, verify data transmissions to banks and third-party administrators, respond to payroll inquiries, and mentor junior staff while improving processes and controls.

Qualifications

  • Bachelor’s degree in Accounting, Finance, or related field.
  • 6+ years of hands-on payroll experience, including union payroll.
  • Proficient in payroll tax return preparation and filing.
  • Strong Excel and data reconciliation skills.

Responsibilities

  • Lead in-house weekly payroll processing and validate payroll output.
  • Maintain employee master files, pay rates, deductions, and terminations.
  • Reconcile retirement contributions and 401(k) data transmissions.
  • Handle complex multi-state and local tax research for compliance.
  • Prepare quarterly and annual payroll tax returns and W‑2s.
  • Audit master file changes and ensure data security of records.
  • Assist employees and managers with payroll discrepancies and policies.
  • Mentor junior staff and pursue process improvements.

Senior Payroll Coordinator
What we are looking for:

Aldridge is seeking an experienced and dedicated Senior Payroll Coordinator to join our talented Payroll team. In this role, you will execute all in-house payroll functions, that ensures complete accuracy, timeliness, and regulatory compliance across all pay cycles.You will also execute complex allocations and tax reporting.

What you’ll do:
  • Assist in leading in-house weekly payroll processing, conducting a final, detailed review and validation of the weekly payroll output, including checks, direct deposit files, and union allocations.
  • Support the setup, maintenance, and audit of employee master files, pay rates, deductions, and terminations in the system, ensuring data integrity and adherence to all onboarding/offboarding policies.
  • Manage and reconcile complex retirement contribution processes, including updating 401(k) rates and loans, and verifying the accurate and timely transmission of data files to banks and other third-party administrators.
  • Serve as a confidential resource for complex inquiries, including employment verifications, garnishment calculations, and in-depth multi-state and local tax research to ensure compliance.
  • Prepare, review, and finalize quarterly and annual payroll tax returns and W-2s, ensuring the accuracy of all related filings and required documentation.
  • Lead the internal review and validation of all master file changes, including periodic audits to ensure the comprehensive integrity and security of employee records within the system of record.
  • Provide support to employees and managers regarding payroll discrepancies, union benefit calculations, tax withholdings, and pay policies.
  • Proactively identify and implement improvements to current payroll processes, system configurations, and internal controls to increase efficiency, reduce risk, and enhance compliance.
  • Provide support and mentorship to junior payroll staff on processing procedures, system usage, and best practices.
Who you are:
  • Unquestionable integrity and demonstrated ability to handle sensitive, confidential information with the highest level of discretion.
  • Bachelor’s degree required, preferably in Accounting, Finance, or a related field.
  • 6+ years of dedicated, hands‑on payroll experience, with extensive experience managing complex in-house and union payroll; construction industry experience is highly preferred.
  • Proficiency in payroll tax return preparation and filing is required.
  • Exceptional organizational, time management, and project management skills.
  • Strong analytical and problem‑solving abilities to troubleshoot complex payroll and system reconciliation issues.
  • Demonstrated proficiency in Microsoft Office (especially Excel) and Google Workspace applications.
  • Experience with Tableau, eCMS, CMiC, or similar complex ERP payroll systems is strongly preferred.

What we offer:

The annual base pay for this role is between $80,000-$95,000. The actual pay is dependent upon many factors, including: location, work experience, education, training, transferable skills, business needs, and market conditions. The base pay range is subject to change and may be modified in the future. The role may also be eligible for a bonus. Aldridge provides a comprehensive benefits package that includes the following:
