Position Overview

The Senior Operations Coordinator provides advanced operational, administrative, and project coordination support for Financial Services. Reporting directly to the Associate Vice President, this position serves as a key partner in ensuring efficient departmental operations, supporting strategic initiatives, coordinating financial and administrative processes, and facilitating communication across divisions and stakeholders.

The position exercises independent judgment in managing complex assignments, monitoring departmental workflows, coordinating special projects, developing reports and analyses, and ensuring compliance with applicable institutional policies, procedures, and regulations. While the position does not directly supervise employees, it may coordinate the work of project teams and serve as a resource to departmental personnel. This position plays a critical role in assisting with strategic initiatives, ensuring compliance, and optimizing operations to improve efficiency and service delivery.

Essential Duties and Responsibilities

Operational Coordination

  • Coordinate daily operational activities of the Finance Department to ensure effective and efficient business processes.
  • Monitor and track departmental priorities, initiatives, and deadlines on behalf of the Associate Vice President.
  • Develop, maintain, and improve administrative and operational procedures.
  • Coordinate cross-functional activities with internal departments and external stakeholders.
  • Identify opportunities to improve business processes, enhance service delivery, and increase operational efficiency.

Executive and Administrative Support

  • Provide high-level administrative and operational support to the Associate Vice President.
  • Prepare correspondence, reports, presentations, briefing materials, and executive communications.
  • Manage sensitive and confidential information with discretion and professionalism.
  • Coordinate meetings, agendas, action items, and follow-up activities.
  • Monitor progress on departmental goals and strategic initiatives.

Financial and Business Operations Support

  • Assist with budget monitoring, financial tracking, and expenditure reporting.
  • Compile, analyze, and present financial and operational data to support decision-making.
  • Coordinate financial workflows and ensure timely completion of departmental transactions.
  • Support planning, forecasting, and resource allocation activities.
  • Maintain records and documentation related to departmental operations and financial activities.

Compliance and Risk Management

  • Ensure departmental processes align with applicable institutional policies, procedures, and regulatory requirements.
  • Monitor compliance-related activities and maintain supporting documentation.
  • Assist with audits, reviews, and requests for information from internal and external stakeholders.
  • Support the implementation of policy updates and operational changes.

Project Management and Strategic Initiatives

  • Coordinate special projects and strategic initiatives on behalf of the Associate Vice President.
  • Develop project timelines, monitor deliverables, and provide status updates.
  • Facilitate collaboration among departments to ensure successful project completion.
  • Research best practices and recommend improvements to operational and financial processes.
  • Prepare analytical reports and recommendations for leadership review.

Communication and Stakeholder Engagement

  • Serve as a liaison between the Finance Department and campus/divisional stakeholders.
  • Coordinate communications related to departmental initiatives, projects, and operational changes.
  • Assist in developing informational materials, procedures, and guidance documents.
  • Foster positive working relationships and provide exceptional customer service to constituents.

Required Qualifications

Required Education

Bachelor’s degree in relevant field or equivalent combination of education and experience

Required Experience

Four years of related experience.

Additional Information
