  • Follow established procedures and applicable federal, state, and local payroll requirements, escalating questions when needed.
  • Reconcile payroll accounts, investigate discrepancies, and coordinate corrections.
  • Maintain accurate payroll records and protect confidential information.
  • Prepare payroll reports for leadership and accounting.
  • Document processes and identify opportunities to improve accuracy and efficiency.

Finance Operations — Approximately 40%

  • Prepare and issue client invoices.
  • Track outstanding payments, follow up on overdue balances, and maintain accounts receivable aging reports.
  • Support cash receipts processing and account reconciliation.
  • Review and process vendor invoices, matching supporting receipts and documentation.
  • Maintain vendor records and help resolve payment discrepancies.
  • Prepare records and supporting documentation for audits, tax reporting, and other compliance activities.
  • Follow company financial policies and maintain organized, accurate records.

Office Management & Administrative Support — Approximately 20%

  • Receive, sort, and distribute mail and packages, and coordinate outgoing shipments.
  • Monitor inventory and order office, kitchen, and shared supplies within approved budgets.
  • Keep supply areas organized and common spaces stocked.
  • Coordinate routine office maintenance and service needs with vendors and building management.
  • Assist with meeting preparation, deliveries, and workspace setup for new employees.
  • Provide additional administrative and office support as needed.
What You’ll Bring:

  • Exceptional attention to detail and a meticulous approach to reviewing work and maintaining records.
  • Sound judgment and a demonstrated commitment to handling confidential information responsibly.
