Job summary

C Chelsea Piers is seeking an experienced Senior Facilities + Projects Administrator in Chelsea, NY to act as the operational backbone of the campus. You will manage vendors, contracts, and systems, own the Emergency Action Plan, and work with senior leadership to keep facilities compliant and running smoothly.

You will source parts, negotiate bids, supervise maintenance programs, and oversee budgeting for projects while coordinating with engineering teams and vendors.

Qualifications

• 5+ years of facilities management, property management, building operations, or purchasing/procurement for a construction, mechanical, or electrical contractor.
• Knowledge of building systems (HVAC, electrical, plumbing, fire/life safety) to source parts and read specs.
• Experience leveling bids and negotiating with suppliers/contractors.
• Experience tracking budgets and supporting construction or capital projects.
• Experience with emergency action or fire safety plans and staff training is a plus.

Responsibilities

• Source equipment, parts, and materials for building systems with engineering input.
• Solicit and evaluate contractor/vendor bids; review scope, pricing, and completeness.
• Negotiate pricing, terms, and lead times with suppliers/contractors.
• Coordinate service calls, site access, and follow-up with vendors/contractors.
• Oversee MaintainX work orders; ensure requests are organized and completed on time.
• Track capital projects and budget spend; report status to leadership.
• Own the Emergency Action Plan and train staff; coordinate with Fire Safety Director.
• Process invoices and issue Purchase Orders; manage tenant sundry reports.
