Compensation: Starting at $70,000, commensurate with experience and qualifications

About the Role

The National Bankers Association and its Foundation are seeking a strategic, highly organized Senior Executive Assistant + Special Projects Manager to support the President & CEO across a range of high-impact responsibilities. This unique, dual-facing role sits at the center of both organizations — providing executive support, coordinating cross-functional projects, and ensuring the smooth operation of the Executive Office.

You will be the go-to person for managing complex schedules, advancing strategic initiatives, and supporting events, communications, and board engagement for both NBA and Foundation. This is a high-trust role ideal for someone who thrives in a mission-driven environment, operates with discretion, and can confidently manage competing priorities while keeping the bigger picture in view.

Key Responsibilities

Executive Support (45%)

  • Manage and prioritize the CEO’s calendar, meetings, and travel (domestic and international)
  • Draft and edit executive communications, memos, and emails
  • Serve as primary liaison between the CEO and both internal teams and external stakeholders
  • Prepare briefings and materials to ensure the CEO is fully equipped for engagements
  • Anticipate the CEO’s logistical and communication needs and resolve issues before they arise
  • Organize and support internal and external meetings, including board engagements and strategic partner briefings

Special Projects & Cross-Functional Coordination (30%)

  • Support the execution of organization-wide events such as conferences, advocacy days, and strategic retreats
  • Coordinate logistics and materials for board and committee meetings (NBA and NBA Foundation)
  • Work cross-functionally with the leadership team to advance key initiatives and track progress
  • Manage the NBA “Coffee & Conversation” series, coordinating speakers and member engagement
  • Help build internal workflows, timelines, and accountability structures for projects across departments
  • Evaluate process or tech gaps and suggest practical, scalable solutions

Administrative & Operational Management (25%)

  • Maintain up-to-date bios and public materials for the CEO
  • Coordinate acknowledgements, presentations, and other communications in collaboration with Marketing & Communications
  • Maintain contact records and support relationship-building efforts on behalf of the executive office
  • Ensure the CEO’s time is used effectively — especially during high-visibility events or travel
  • Jump in on high-priority tasks and special assignments that require discretion and follow-through

Qualifications

  • Minimum of 3–5 years of experience supporting C-level executives, preferably in a nonprofit, association, or public service setting
  • At least 2 years of project coordination or operations experience
  • Exceptional organizational skills with the ability to manage multiple priorities with precision
  • Strong verbal and written communication skills — professional, warm, and clear
  • Highly proactive and capable of anticipating needs and solving problems independently
  • Discretion, emotional intelligence, and maturity — especially when handling sensitive matters
  • Strong proficiency with Google Workspace, Microsoft Office Suite, and virtual meeting platforms
  • Bachelor’s degree preferred (or in progress with anticipated completion within 12 months)
  • Willingness to work occasional evenings or weekends during key events or deadlines
  • Starting salary of $70,000, commensurate with experience and qualifications
