Citigroup Inc. is seeking a Senior Executive Assistant to support the Head of Community Investing & Development and a Managing Director within CID in New York. The role focuses on calendar management, travel coordination, and coordinating meetings and materials.
You will prepare briefing materials, assist with regulatory documents, track expenses, and help with onboarding and ad-hoc projects, while leveraging AI tools to improve efficiency in a fast-paced corporate social impact function.
The Senior Executive Assistant will support the Head of Community Investing & Development (CID) and one additional Managing Director within CID. The CID team works to advance economic opportunity through impact investing, employee volunteerism, the philanthropy of the Citi Foundation and fulfillment of regulatory obligations including the Community Reinvestment Act in the U.S. This role is ideal for experienced executive assistants interested in learning about and contributing to a corporate social impact function.
Manage day-to-day calendar(s) and coordinate all aspects of scheduling, meetings, receptions and video conferences and calls for the Head of CID and members of the CID executive leadership team
Assist with creation/modification of presentations, spreadsheets, briefing materials and other documents, including those pertaining to regulatory obligations
Coordinate travel arrangement; prepare and distribute schedules, agendas and any briefing materials for travel
Prepare, reconcile, and track corporate expense reports in alignment with Citi policy
Manage key correspondence and screen requests from internal colleagues, CID partners and external stakeholders to respond or redirect as appropriate
Support team management efforts, including scheduling function-wide meetings, submitting organization chart updates, and managing and updating distribution lists
Provide on-site support for CID in the NYC office, including coordinating supplies, sending and distributing physical mail received to the office, and supporting CID leadership in their visits to the NYC office
Train, coach or guide other administrative staff when required, and support in new-hire onboarding
Assist in ad-hoc reports, project management and special projects as needed
Significant prior executive assistant experience
Highly proficient in Microsoft Office and able to quickly gain command of new systems
Consistently demonstrates clear and concise written and verbal communication skills
Excellent time management and prioritization skills with an ability to juggle competing demands
Self-motivated and exceptionally detail-oriented with the capacity to work independently and as a self-starter
Demonstrates sound judgement and appropriately assesses risk and adherence to all compliance standards to proactively elevate, manage and report risk as needed
Strategic integration and leveraging of AI tools to enhance efficiency and effectiveness
