Job Description :

GENERAL OVERVIEW:

Provides administrative and secretarial support to Senior Executives; performs a wide range of administrative duties; handles multiple assignments simultaneously, and develops tracking systems. Facilitates overall working relationships with management throughout the Health Network as well as external contacts.

ESSENTIAL RESPONSIBILITIES:

  1. Manages calendars, including arranging meetings, appointments, and travel. Prioritizes and exercises judgment in managing schedule conflicts and changing demands. Coordinates and schedules meetings to ensure effective use of management resources.
  2. Creates, types, and edits correspondence; prepares documents; compiles materials for presentations; prepares presentations and communication packages. Regularly engages with high-level management and physicians, handling a variety of contacts inside and outside the organization. (20%)
  3. Reads and prioritizes incoming mail, assigns work, routes, responds, and initiates informational requests.
  4. Initiates and responds to informational requests, including policies, procedures, regulations, report preparation, and sourcing answers. Supports special projects with data, reports, analysis, and follow-up. Composes correspondence, memos, and reports; takes dictation or transcribes from handwritten or tape recordings. Types, formats, and proofreads various materials.
  5. Establishes and maintains a filing system, including correspondence, board reports, confidential files, and department expenses.
  6. Assists with budget preparation, tracking, and management. Coordinates workflow, schedules, projects, and committee decisions to ensure completeness and timeliness. Prepares paperwork such as contract forms, requisitions, and payment authorizations, and follows up on payments.
  7. Performs other duties as assigned or required.

QUALIFICATIONS:

Minimum

  • High school diploma or equivalent, plus additional relevant training.
  • 5-7 years of related experience.
  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and good grammar/spelling skills.
  • Good judgment and decision-making abilities.

Preferred

  • Associate’s Degree.
