Job Description :

GENERAL OVERVIEW:

Provides administrative and secretarial support to Senior Executives, performing a wide range of administrative duties, managing multiple assignments simultaneously, and developing tracking systems. Facilitates effective working relationships with management throughout the Health Network and with external contacts.

ESSENTIAL RESPONSIBILITIES:

  1. Manage calendars, including arranging meetings, appointments, and travel. Prioritize and exercise judgment in handling schedule conflicts and changing demands. Coordinate and schedule meetings to optimize management resources.
  2. Create, type, and edit correspondence; prepare documents; compile materials for presentations; prepare presentation and communication packages. Ensure timely completion of meeting materials. Engage with internal and external contacts, including high-level management and physicians. (20%)
  3. Read, prioritize, and respond to all incoming mail; assign work, route, and initiate informational requests.
  4. Respond to informational requests related to policies, procedures, regulations, report preparation, and research. Support special projects by preparing data, reports, and analysis. Compose correspondence, memos, and reports, including patient and employee service communications. Take dictation or transcribe from handwritten or recorded material. Proofread and format various materials.
  5. Establish and maintain a filing system for correspondence, reports, confidential files, and departmental expenses.
  6. Assist with department budget preparation, tracking, and management. Coordinate workflows, schedules, projects, and committee decisions to ensure completeness and timeliness. Prepare paperwork such as contract forms, requisitions, and payment vouchers, and follow up on payments and reimbursements.
  7. Perform other duties as assigned.

QUALIFICATIONS:

Minimum

  • High school diploma or equivalent, with additional job-related training.
  • 5-7 years of relevant experience.
  • Proficiency in Microsoft Office, Excel, PowerPoint, and strong grammar/spelling skills.
  • Good judgment and decision-making abilities.

Preferred

  • Associate’s Degree.
