Position Summary
We are seeking a highly organized, proactive, and discreet Senior Executive Assistant to provide comprehensive executive-level administrative support to senior leadership in a fast-paced government environment. The successful candidate will serve as a trusted partner to executives by managing complex calendars, coordinating meetings and travel, preparing executive communications, and ensuring seamless daily operations while handling sensitive and confidential information.
This position requires exceptional judgment, attention to detail, professionalism, and the ability to anticipate executive needs with minimal supervision.
Key Responsibilities
- Manage complex executive calendars, scheduling meetings across multiple organizations and time zones.
- Coordinate and prepare for executive meetings, including agendas, briefing materials, presentations, and meeting minutes.
- Arrange domestic and international travel, including itineraries, lodging, transportation, and expense reconciliation in accordance with government travel regulations.
- Screen and prioritize correspondence, phone calls, and requests for executive attention.
- Draft, edit, and proofread executive correspondence, reports, memoranda, and presentations.
- Coordinate with government customers, military personnel, contractors, and external stakeholders.
- Maintain executive records, files, and confidential documents in accordance with applicable security requirements.
- Track action items, suspense dates, and deliverables to ensure timely completion.
- Support planning and execution of leadership meetings, conferences, and special events.
- Identify administrative process improvements that increase efficiency and effectiveness.
- Perform other executive support duties as assigned.
Required Qualifications
- Active Secret or Top Secret security clearance.
- Bachelor's degree or equivalent combination of education and experience.
- Minimum of 7–10 years of executive administrative experience supporting senior executives, directors, SES members, flag officers, or C-suite leadership.
- Experience supporting U.S. Government agencies, Department of Defense, or federal contractors.
- Exceptional organizational and time-management skills.
- Outstanding verbal and written communication skills.
- Demonstrated ability to exercise sound judgment and maintain strict confidentiality.
- Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams, and SharePoint).
- Ability to manage multiple competing priorities with minimal supervision.
- Strong attention to detail and commitment to accuracy.
Preferred Qualifications
- Experience supporting defense or intelligence community organizations.
- Experience coordinating executive-level briefings and government meetings.
- Knowledge of federal records management and security procedures.
- Project coordination or program management support experience.
