Job description

How You Will Make An Impact

The Senior Executive Assistant serves as a strategic partner to senior leaders, providing high-level administrative and operational support that enables effective decision-making and execution. This role manages complex calendars, communications, meetings, and priorities across multiple executives while serving as a trusted liaison to internal and external stakeholders. The individual in this role handles highly confidential information with discretion, anticipates executive needs, resolves challenges proactively, and drives coordination across functions to ensure priorities move forward efficiently. In addition to executive support, this position may lead or coordinate special projects, track key deliverables, and help streamline processes that improve organizational effectiveness and executive productivity.

Strategic Executive Partnership

  • Serve as a trusted business partner to the Executive Vice President and Chief Financial Officer, and Executive Vice President, Chief Legal Officer.

  • Help manage strategic priorities and ensure executive focus remains aligned with critical business objectives.

  • Maintain visibility into key initiatives, decisions, and action items across supported functions.

  • Proactively identify risks, dependencies, bottlenecks, and opportunities to improve execution.

Executive Priority Management & Coordination

  • Manage multiple, competing priorities across supported executives, ensuring critical items remain visible and on track.

  • Track action items, decisions, and deliverables coming out of executive meetings, driving follow-through with owners across Finance, Legal, Drug Delivery, and other business partners without waiting to be asked.

  • Anticipate scheduling, information, and support needs, adjusting priorities as business needs evolve.

  • Build in buffers for thinking time, prep, and travel across supported calendars, exercising sound judgment about what can wait and what cannot.

  • Maintain clear visibility into deadlines, dependencies, and next steps, escalating issues when appropriate.

Executive Communications & Business Planning

  • Develop executive briefing materials, presentations, dashboards, and reports.

  • Prepare leadership for key meetings, offsites, board interactions, and strategic planning sessions.

  • Draft executive-level communications and correspondence on behalf of leadership.

  • Serve as a professional first point of contact for supported executives—screening calls and email, routing inquiries, and representing the office with sound judgment.

  • Research, synthesize, and summarize complex information to support decision-making.

Leadership Meeting & Governance Support

  • Coordinate Executive Leadership Team meetings and leadership forums.

  • Develop agendas, collect materials, capture action items, and monitor follow-through.

  • Ensure effective communication and alignment across executive stakeholders.

  • Support planning and execution of leadership meetings and company events.

Administrative & Executive Support

  • Manage complex calendars for multiple executive leaders.

  • Manage complex domestic and international travel— itineraries, ground transportation, lodging, and last-minute changes—producing concise trip briefs covering attendees, objectives, materials, and logistics.

  • Process expense reports, invoices, and purchase requisitions in accordance with company policy, and coordinate vendor relationships; maintain organized digital and physical files.

  • Coordinate meetings, logistics, and executive schedules.

  • Handle highly confidential information related to financial results, compensation, personnel, and legal matters with absolute discretion, and remain comfortable operating around material non-public information.

  • Identify and implement process improvements, protocols, briefing standards, and meeting hygiene that streamline executive support.

  • Provide backup coverage and surge support across the executive office during peak periods, such as board meetings, investor conferences, and year-end.

Qualifications to Elevate the Role

  • 8+ years supporting senior executives, including C-suite leaders.

  • Demonstrated ability to support multiple executives simultaneously in a fast-paced environment without dropping balls or creating competing priorities.

  • High-energy professional with a strong bias for action, a results-driven mindset, and a positive, collaborative approach to achieving goals.

  • Strong business acumen with exposure to finance, legal, operations, or corporate strategy functions.

  • Experience coordinating executive priorities, deadlines, and follow-through across multiple stakeholders.

  • Exceptional written and verbal communication skills; materials produced are accurate, clean, and appropriately toned for executive and external audiences.

  • Advanced proficiency with Microsoft 365 (Outlook, PowerPoint, Word, Excel, Teams) and comfort with collaboration tools; able to produce clean, polished materials under time pressure.

Preferred Experience

  • Experience as an Executive Business Partner, Executive Operations Manager, or Senior Executive Assistant supporting public company executives.

  • Experience preparing executive presentations, board materials, and organizational updates.

  • Current Notary Public certification is preferred. Candidates with the ability and willingness to obtain certification may also be considered.

  • Biotechnology, life sciences, pharmaceutical, healthcare, or public company experience preferred, including familiarity with earnings cycles, board meetings, investor conferences, and industry operating cadence (partnerships, clinical/regulatory milestones).

In Return, We Offer You

  • Full and comprehensive benefit program, including an Employee Stock Purchase Program and 401(k) matching.

  • Opportunities to grow in a culture that prioritizes learning, development and progression through in-house programs and tuition reimbursement.

  • A collaborative, innovative team that works as one to amplify your impact—on your career, the work you do and patients’ lives.
