Job summary

Brooks Safety Solutions in Charlotte, NC is seeking a Senior Executive Assistant to support the CEO and the Executive Leadership Team with exceptional coordination, calendars, travel, and communications. The role requires polished presence, discretion, and proactive problem solving.

You will manage complex schedules, prepare meeting materials, and help drive efficiency across the organization while safeguarding confidential information and aligning with leadership priorities.

Qualifications

  • 5+ years of experience supporting senior executives or C-suite leaders in a fast-paced corporate environment.
  • Exceptional organizational, time management, and multitasking skills.
  • Advanced Microsoft Office skills, particularly PowerPoint, Outlook, Excel, and Teams.
  • Strong written and verbal communication skills.
  • High level of professionalism, discretion, and emotional intelligence.
  • Ability to work independently, prioritize effectively, and adapt quickly to changing priorities.
  • Experience supporting multiple executives simultaneously preferred.
  • Experience in a private equity-backed, manufacturing, distribution, or high-growth environment is a plus.

Responsibilities

  • Provide day-to-day administrative support to the CEO, CFO, CHRO, and COO.
  • Manage complex and frequently changing executive calendars, including prioritization of meetings and scheduling conflicts.
  • Coordinate travel arrangements, including flights, hotels, transportation, itineraries, and related logistics.
  • Prepare and submit executive expense reports accurately and timely.
  • Support executive communications, meeting preparation, and follow-up actions.
  • Develop, edit, and format executive-level PowerPoint presentations with a high degree of professionalism and visual polish.
  • Coordinate leadership meetings, board-related logistics, town halls, and offsite events.
  • Prepare meeting agendas, materials, and presentation decks.
  • Take meeting notes and track action items as needed.
  • Coordinate facility-related services and vendor support for corporate office operations.
  • Coordinate thoughtful employee and executive support activities, including recognition, hospitality, and special arrangements as needed.
  • Manage conference room scheduling and ensure rooms are fully functional and presentation-ready.
  • Serve as a point person for conference room technology troubleshooting and meeting support.
  • Partner with IT and external vendors to resolve office equipment or technology issues efficiently.
  • Maintain confidentiality of sensitive company and executive information.
  • Assist with special projects, operational initiatives, and cross-functional coordination.
  • Help improve administrative processes and organizational efficiency.
  • Provide support for company events, executive visits, and leadership team activities.

Position Summary

Brooks Safety Solutions is seeking a highly polished, proactive, and detail-oriented Executive Administrator to provide comprehensive support to members of the executive leadership team, including the CEO, CFO, CHRO, and COO. This individual will serve as a trusted partner to senior leadership, helping drive organizational efficiency through exceptional coordination, communication, and execution.

The ideal candidate thrives in a fast-paced, high-growth environment, demonstrates outstanding judgment and discretion, and operates with a service-oriented mindset. This role requires exceptional organizational skills, executive presence, and the ability to anticipate needs before they arise.

Key Responsibilities
Executive Support
  • Provide day-to-day administrative support to the CEO, CFO, CHRO, and COO
  • Manage complex and frequently changing executive calendars, including prioritization of meetings and scheduling conflicts
  • Coordinate travel arrangements, including flights, hotels, transportation, itineraries, and related logistics
  • Prepare and submit executive expense reports accurately and timely
  • Support executive communications, meeting preparation, and follow-up actions
Meeting & Presentation Support
  • Develop, edit, and format executive-level PowerPoint presentations with a high degree of professionalism and visual polish (“PowerPoint black belt” capabilities required)
