Job summary

Galapagos Federal Systems, LLC is seeking an Executive Administrator to support the Space Security and Defense Program and Space Warfighting Analysis Center Threat Assessment Division on-site in Reston, VA.

The role coordinates executive calendars, travel, and communications, handling sensitive information with professionalism while engaging with internal and external stakeholders. A TS/SCI clearance and 5+ years of experience are required.

Qualifications

• Active TS/SCI clearance with ability to undergo polygraph if required.
• 5+ years of executive administrative support experience, preferably in DoD/intelligence or classified environment.
• Experience supporting senior executives, military leaders, or government officials.
• Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
• Experience managing executive calendars, task tracking, records management, and office administration processes.

Responsibilities

• Manage and maintain Directors’ and Deputy Directors’ complex calendars, schedules, and travel.
• Coordinate travel via the Defense Travel System (DTS), including flights, lodging, car rentals, and itineraries.
• Prepare travel authorizations, vouchers, and supporting docs per gov’t travel regs.
• Schedule meetings, conferences, and leadership engagements; prepare materials and read-ahead packages.
• Track action items and correspondence; draft and manage executive communications.
• Maintain records, run minutes, and ensure timely completion of tasks.
