Job summary

Canteen North America in Lenexa, KS is seeking a Senior Administrative Executive Assistant to provide high-level administrative, operational, and project support to senior leadership within a fast-paced warehouse and food manufacturing environment. The role coordinates executive calendars, meetings, HR and payroll administration, and special projects across multiple sites.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities with confidentiality

Responsibilities

  • Prepare invoices, reports, memos, letters, financial statements and other documents using office software
  • Coordinate and document meeting minutes, distribute action items, and track follow-up activities
  • Support HR and payroll functions, including employee records, timesheet verification, onboarding activities, and payroll coordination
  • Process employee referral bonus submissions and maintain accurate tracking and documentation
  • Plan, coordinate, and execute department events, meetings, recognition activities, and special projects
  • Lead and support project management initiatives, ensuring deadlines, objectives, and deliverables are met
  • Coordinate new laptop and technology equipment requests, orders, and deployments for employees
  • Create, edit, and distribute division newsletters and internal communications
  • Support marketing initiatives by developing promotional materials, coordinating campaigns, and assisting with communications
  • Coordinate site visits, meetings, training events, and leadership activities across sites
  • Travel as needed to support operational initiatives, employee events, and executive meetings

Job Summary:

The Senior Administrative Executive Assistant provides high-level administrative, operational, and project support to senior leadership within a fast-paced warehouse and food manufacturing environment. This role serves as a key liaison between operations, human resources, payroll, sales, and executive management. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while maintaining confidentiality and professionalism. The position supports daily business operations through executive calendar management, meeting coordination, payroll and HR administration, special projects, employee engagement programs, company communications, and multi-site administrative support across regional facilities.

Essential Duties and Responsibilities:
  • Prepares invoices, reports, memos, letters, financial statements and other documents, using word processor, spreadsheets, database, and/or presentation software.
  • Coordinate and document meeting minutes, distribute action items, and track follow-up activities.
  • Support HR and payroll functions, including employee records, timesheet verification, onboarding activities, and payroll coordination.
  • Process employee referral bonus submissions and maintain accurate tracking and documentation.
  • Plan, coordinate, and execute department events, meetings, recognition activities, and special projects.
  • Lead and support project management initiatives, ensuring deadlines, objectives, and deliverables are met.

Work Environment & Travel Requirements:
  • Warehouse setting with regular interaction across operations, HR, finance, and executive leadership.
  • Combination of office-based administrative work and floor-level operational coordination.
  • Ability to work effectively in a dynamic, fast-paced warehouse environment.
  • Light travel (approximately 10-15%) required to support facilities and leadership teams.
  • Occasional overnight travel may be required for meetings, training sessions, special projects, and company events.
Qualifications:
  • Ability and willingness to travel periodically within WA, OR, CO, NE, KS, IL and MO.
  • Advanced computer skills, including proficiency in Microsoft Office Suite (Excel, Word, Outlook, and PowerPoint).
