Responsibilities

  • Execute the annual events calendar in partnership with regional and global marketing teams.
  • Manage end-to-end delivery of trade shows, customer events, executive programs, webinars, partner events and sponsorship activities.
  • Develop detailed project plans, timelines and execution schedules to ensure successful delivery of all events.
  • Coordinate event requirements with internal stakeholders and external partners.

  • Proactively identify and resolve operational challenges before and during events.

Job description

The Senior Events Specialist is responsible for planning and delivering Vingcard's global events portfolio across multiple brands, supporting North America, Latin America and international markets.

Working closely with Regional and Global Marketing teams, this role oversees the successful execution of trade shows, customer events, executive programs, webinars, partner events and sponsorships across multiple brands within the Vingcard portfolio. The position manages all aspects of event delivery, including project planning, logistics, vendor management, budget tracking, on-site execution and performance reporting.

This role is ideal for a highly organized event professional who thrives in a fast-paced environment and is passionate about delivering exceptional event experiences.

Key responsibilities
Event planning and delivery
  • Execute the annual events calendar in partnership with regional and global marketing teams
  • Manage the end-to-end delivery of trade shows, customer events, executive programs, webinars, partner events and sponsorship activities
  • Develop detailed project plans, timelines and execution schedules to ensure successful delivery of all events
  • Coordinate event requirements with internal stakeholders and external partners
  • Ensure all events are delivered on time, within budget and aligned with agreed objectives
  • Maintain event planning processes, documentation and operational best practices
Event management
  • Lead the delivery of in-person, virtual and hybrid events across multiple regions
  • Manage venues, agencies, vendors, travel, shipping, registrations and on-site operations
  • Coordinate executive participation, speakers, customer meetings and product demonstration activities
  • Manage attendee communications and event logistics from registration through post-event follow-up
  • Ensure a consistent brand experience and high standard of execution across all events

Cross-functional collaboration
  • Manage the successful delivery of events that support multiple brands across the Vingcard portfolio, balancing competing priorities and stakeholder requirements
  • Partner closely with Regional Marketing teams to support regional marketing priorities through event execution
  • Collaborate with Global Marketing teams to deliver campaigns, product launches and corporate initiatives through events
  • Work closely with Sales, Product Management, Customer Success and Partner Marketing teams to coordinate event activities and stakeholder engagement
  • Coordinate with creative, content and digital marketing teams to ensure timely production of event assets and promotional materials
  • Serve as the central point of coordination for event-related planning and execution activities
  • Manage approved event budgets and track expenses throughout the planning and delivery cycle
  • Coordinate and manage relationships with event agencies, vendors and service providers
  • Support vendor selection, contract administration and procurement processesEnsure effective cost management while maintaining high standards of delivery
  • Identify opportunities to improve operational efficiency and optimize event execution
Measurement & continuous improvement
  • Track event performance against agreed objectives and success measures
  • Partner with regional marketing and sales teams to collect and report event results
  • Prepare post-event reports, including attendance, engagement and operational performance metrics
  • Conduct post-event reviews and capture lessons learned to improve future events
  • Maintain and enhance event playbooks, templates and standardized processes
Qualifications
  • 7+ years of experience managing B2B events, trade shows, conferences or customer events, ideally within a global organization
  • Proven ability to plan and deliver multiple events simultaneously while managing timelines, budgets, vendors and stakeholders
  • Strong project management, organizational and communication skills with exceptional attention to detail
  • Experience working effectively across marketing, sales and other cross-functional teams
  • Proficiency with event management platforms, CRM systems and marketing tools
  • Willingness to travel domestically and internationally as required
Preferred experience
  • Experience supporting North American and global markets
  • Experience working with external agencies and event vendors
  • Hospitality, travel or technology industry experience
  • French, Spanish and/or Portuguese language skills
