Job description

About ParetoHealth

ParetoHealth is redefining the way employers fund healthcare. As the largest and fastest-growing benefits captive in the United States, we help thousands of small and midsize employers take control of healthcare costs through a smarter, more sustainable model.

Our mission is simple: give small and midsize employers the scale and protection they need to eliminate volatility and lower healthcare costs.

By combining data-driven insights, innovative risk management, and the collective purchasing power of our community, we enable employers to reduce volatility, improve long-term outcomes, and reinvest savings into their businesses and their people.

Headquartered in Philadelphia, ParetoHealth is growing rapidly and transforming one of the country's largest industries. Our success is fueled by talented people who are united by our four core values: Fire in the Belly, For the Greater Good, See the Field, and Get It Done Right. These values shape how we innovate, collaborate, make decisions, and deliver exceptional results for our clients and one another.

If you're energized by solving complex challenges, thrive in a high-growth environment, and want to help reshape the future of healthcare, we'd love to meet you.

Please note that ParetoHealth does not provide employment visa sponsorship for this position. Candidates must be authorized to work in the United States without sponsorship both now or in the future.

Position Summary:

The Senior Event Operations Manager is a key leader on Pareto’s Events team, responsible for shaping, planning, and executing an exceptional portfolio of event experiences that our Members, consultants, sponsors, and employees have come to expect.

Pareto events are industry-leading, thoughtfully curated experiences designed to educate and inspire. From large-scale Members’ Meetings to incentive trips and consultant training programs, our events combine substantive content with the thoughtful details that delight attendees.

This is an ideal opportunity for an experienced event professional who enjoys both the big picture and the fine print. The Senior Event Operations Manager will take a lead role in managing event content and speaker materials, but this is not a siloed “content” position. You will be a collaborative, hands-on partner throughout the complete event lifecycle—from strategic planning and creative problem-solving to speaker coordination, contract negotiation, budget reconciliation, and onsite execution.

Key Responsibilities:
  • Work with the Events team and internal partners to plan events that meet business goals and create a great experience for attendees.
  • Help manage a full calendar of events, to include approximately 10 consultant training events each year, company-wide and internal team meetings, approximately five incentive trips, and three large Members’ Meetings with 1500+ attendees each.
  • Serve as the point person for collecting, organizing, reviewing, and preparing large volumes of event content, including speaker presentations, session details, agendas, and attendee-facing materials.
  • Build and manage detailed event timelines, project plans, run-of-show documents, staffing plans, and onsite logistics.
  • Set clear deadlines and processes for speakers and internal teams; follow up as needed to keep content moving and ensure materials are complete, accurate, on-brand, and ready to go.
  • Coordinate speaker logistics before and during events, including presentation files, production needs, session timing, and last‑minute changes.
  • Negotiate event contracts with hotels, venues, and vendors, and oversee contract details through the life of the event.
  • Build and manage event budgets; track spending, review invoices, reconcile billing, and prepare final budget reporting.
  • Source and manage venues, hotels, production partners, transportation providers, entertainment, photographers, videographers, signage vendors, gifting partners, and other event suppliers.
  • Lead venue planning and pre‑event coordination, including site visits, BEO reviews, floorplans, food and beverage details, production needs, and venue meetings.
  • Lead the operational execution of Pareto’s sponsorship program, including sponsor communication, deliverables, branding, onsite needs, and follow‑up.
  • Manage registration, attendee tracking, virtual‑event platforms, event apps, and related technology.
  • Coordinate event materials, gifts, shipping, storage, and returns.
  • Be onsite at events to manage logistics, support speakers and attendees, solve problems quickly, and make sure the experience feels smooth and welcoming from beginning to end.
Required Skills & Qualifications:
  • Eight or more years of experience in event planning, event operations, hospitality, conference management, or a similar field.
  • Demonstrated experience leading large, complex events with 1000+ attendees—experience supporting events of 1500+ is strongly preferred.
  • Ability to bring ideas to the table. We value people who can spot a problem before it becomes one, think creatively when plans change, and find practical solutions under pressure.
  • A calm, creative, resourceful approach to problem‑solving in a fast‑paced, high‑pressure environment.
  • Comfortable working with senior executives, external speakers, and high‑profile guests with professionalism, tact, and sound judgment.
  • Someone who works well on a team, shares responsibility, and is willing to roll up their sleeves when the work calls for it.
  • Strong experience negotiating contracts, managing vendors, building and managing budgets, and reconciling event billing.
  • Experience managing speakers, presentations, and large amounts of event content with a high level of accuracy and follow‑through.
  • A strong hospitality mindset and a real interest in creating thoughtful, memorable experiences for attendees, speakers, and partners.
  • The ability to move easily between strategy and execution. You can think through the big picture, but you also care about the details that make an event work.
  • Strong judgment, organization, communication skills, and attention to detail.
  • Experience with Cvent, Navan, Tableau, and Salesforce is a plus.
  • Bachelor’s degree
  • Willingness to travel regularly and work onsite during events, including occasional evenings and weekends.
Perks & Benefits:
  • Fully paid medical, dental, and vision benefits.
  • Flexible PTO
  • 401k company contribution
  • Tuition reimbursement
  • Professional development allowance
  • Transportation allowance and daily parking reimbursement
  • Engaging hybrid work environment
