JOB DESCRIPTION: PROJECT MANAGER

At Cerbelli Creative, our team of producers, designers, and entertainment experts manages over 150 live events annually. The Project Manager works in the Events Department, teaming with other Project Managers and Coordinators and reporting to the Director of Events. They lead event planning from brief to delivery, operating in a small, fast‑paced, dynamic environment that demands excellent judgment, written and verbal communication, and strong organizational skills. The role requires working independently from conception through completion and handling a wide variety of activities under pressure while maintaining discretion.

Core activities include scheduling projects and resources, sourcing internal and external talent, creating timing plans and budgets, reviewing and approving creative output, and ensuring projects run on time and on budget. The Project Manager communicates directly with clients to plan and execute corporate, social, and non‑profit events, coordinating with creative teams and vendors to transform creative visions into reality. They manage site visits, prepare run‑of‑show documents, delegate tasks, and may handle travel regionally, nationally, and internationally.

Responsibilities
  • Design, produce, and manage social and corporate events from concept, proposal writing, presentation, production, planning, and event day execution.
  • Lead budgeting, forecasting, auditing, and reconciliation for financial accuracy, prepare client quotes, negotiate vendor rates, and manage payment collection.
  • Act as the primary project liaison, facilitating communication between clients and partners.
  • Track, anticipate, and prepare for upcoming deadlines, events, and agenda items.
  • Plan and support special events with a high attention to detail.
  • Oversee on‑site management to ensure smooth execution and handle all logistical details.
  • Transform creative vision into reality by combining visuals with a compelling narrative.
  • Conduct research and site visits to identify potential venues and resources.
  • Prepare planning documents such as run of show, production schedule, and floor plans.
  • Delegate tasks efficiently across departments, ensuring clear communication of responsibilities.
  • Travel as required.
Qualifications
  • At least 5 years of experience planning and producing events.
  • Proven track record of producing multiple complex projects.
  • Ability to work overtime, evenings, and weekends as needed.
  • Strong attention to detail, accuracy, and ability to prioritize work.
  • Proficient with Microsoft Word, Excel, and PowerPoint.
  • Excellent presentation skills.
  • Physical stamina for long days on feet and occasional lifting of up to 40 lb.
  • Ability to work evenings, weekends, holidays, and/or 6‑day weeks when required.
  • Subject to background checks depending on the project.
