Senior Event Manager, University of Minnesota Law School

Description:
The University of Minnesota Law School seeks a Senior Event Manager, responsible for planning and leading high-profile events at the Law School. Reporting to the Director of Communications, the Senior Event Manager is the main event leader and an essential member of the Law School’s communications team.

Purpose:
The Senior Event Manager is a critical member of the Law School Communications and Events team. Reporting to the Director of Communications, this position has senior-level responsibility for leading and planning an assigned portfolio of high-profile Law School events. This position also leads assigned portions of communications strategy, public relations, and planning that support the overall goals and priorities of the University of Minnesota Law School.

Responsibilities
Event Management (55%):

  • Develop, lead, and oversee all aspects of high-profile events at the Law School, including endowed lecture series, appointment lectures, court visits, prominent and high-profile faculty events, academic lectures and workshops, visiting faculty lectures, Dean’s dinners and special events, faculty and staff events, webinars, annual receptions, Commencement, and others.
  • Develop, lead, and oversee event planning committees and manage duties for staff, volunteers, and student workers to ensure adequate staffing and support for significant events.
  • Coordinate and implement the Continuum of Action plan for all events that involve high levels of public interaction, security, and media; work with the Dean’s Office and UMPD on security issues for events.
  • Forecast and manage the budget for Law School events; work with the Director of Communications to manage the events budget as part of the larger Communications budget.
  • Coordinate recording, AV services, and post-production editing for event videos and podcasts.
  • Produce surveys, collect data, and submit reports about event outcomes, outreach, and successes.
  • Oversee the external and internal events calendars. Manage content, make updates, and solicit events to populate the calendar.
  • Manage Law School-wide Continuing Legal Education (CLE) credit applications for events.
  • Manage Law School room reservations and serve as super admin for the room reservation system. Manage external room reservations and coordinate with the Office of Classroom Management (OCM) as needed.
  • Consult with Law School departments and student organizations about their events and provide insight or resources as needed.
  • Maintain internal event resources for Law School staff, such as “Events in a Box,” forms, and more.

Communications and Public Relations (40%):

  • Write, edit, or manage news releases, email, event announcements, online feature stories, and social media content for events.
  • Lead, develop, and plan event strategy and participate in the overall planning and execution of the Communications team's annual strategic plan.
  • Maintain, coordinate, and produce original content for all aspects of the Law Events section on the Law School website, faculty and staff intranet, and the Law Events calendar.
  • Serve as managing editor for all event content online and in print, responsible for content strategy, production schedule management, assignment of feature stories and interviews, and original content production as necessary.
  • Develop and implement the annual communications plan for endowed chair lectures. In consultation with the director of communications and the Dean’s Office, identify opportunities, make recommendations, and reallocate resources as needed.
  • Collaborate with other Law School and University units to gather, develop, and disseminate information to key stakeholders.
  • Manage, maintain, and archive events and event content (photos, videos, and podcasts) for historical purposes.
  • Develop, coordinate, and implement a comprehensive communications strategy and social media plans for all Law School events.
  • Write and disseminate the LawTalk Event Newsletter, event email announcements, surveys, and follow-up emails.
  • Manage communications and publicity for events, including overseeing post-event recordings, podcasts, and creating social media content both before and after the event.
  • Coordinate publicity efforts and external publicity distribution to media, audiences, special groups, and the public.
  • Coordinate and schedule freelance photographers and videographers/AV to cover event needs, including recording events, producing podcasts, and collaborating with freelance writers to create articles related to Law School events and community outreach.
  • Work with the Director of Communications to develop and implement media pitches for events, promoting them to the media, aligning with the Law School's goals and strategy.
  • Disseminate photos, videos, and podcasts as needed to audiences.

Other Duties as Assigned (5%)

This is a full-time, 40-hour/week, annually renewable position. Most of the work is in-person, with some remote flexibility. Some evenings and weekends may be required.

Required qualifications

  • Completed BA/BS or a combination of related education and work experience to equal four years
  • 4-6 years of senior event planning experience
  • Excellent verbal and written communication skills, with demonstrated ability to communicate with multiple audiences
  • Ability to display a professional and cooperative relationship with a diverse constituency of staff, faculty, students, University departments, the legal community, and outside groups
  • Demonstrated ability to work independently and with a team
  • Demonstrated ability to meet deadlines with multiple priorities and plan accordingly
  • Excellent organizational and time management skills with the ability to effectively troubleshoot and problem solve
  • Detail-oriented with excellent judgment, having the ability to recognize confidential matters

Pay and Benefits

Pay Range: $62,000 - $67,000 annually, depending on education/qualifications/experience
