Job summary

WSU Tech in Wisconsin is seeking a Manager, Event Operations Logistics to lead the logistical planning and on-site execution of college and external events, ensuring facilities, room setups, food service, technology, security, and vendors run smoothly.

You will coordinate internal and external teams, develop timelines and checklists, supervise on-site staff, and continually improve operations to deliver a professional guest experience.

Qualifications

• Associate degree or equivalent in event management, hospitality, operations, or related field.
• Experience coordinating events, meetings, conferences, hospitality operations or similar.
• Strong organizational and project management skills to juggle multiple events.
• Excellent communication and customer service with cross-department collaboration.
• Strong problem-solving; stay calm in a fast-paced event environment.
• Ability to work flexible hours, including evenings and weekends.
• Proficiency with Microsoft Office; learn scheduling and operational systems.

Responsibilities

• Coordinate the operational and logistical execution of college and external events from planning through completion.
• Develop event timelines, checklists, room diagrams, setup requirements, and day-of-event plans.
• Conduct walkthroughs, pre-event meetings, and readiness checks.
• Serve as the primary on-site operational contact for events; coordinate facilities, tech, food service, security, vendors.
• Communicate schedules and requirements with internal departments and clients.
• Meet with organizers to understand needs and advise on spaces, configurations, and access.
• Coordinate approved vendors and contractors, including arrivals and setup.
• Monitor events and adjust plans as needed.
• Maintain accurate event schedules, floor plans, and documentation.
• Identify opportunities to standardize and improve operations.
