Job summary

WSU Tech is seeking a Manager of Event Operations Logistics to lead the planning and on-site execution of college and external events. You will coordinate facilities, rooms, food service, AV, security, and vendors to ensure a polished, seamless experience.

The role requires strong organization, customer focus, and the ability to manage multiple events in a fast-paced environment. Occasional evenings/weekends may be required to align with event schedules.

Qualifications

• Associate degree or equivalent combination of education and experience in event management, hospitality, operations, business, or a related field.
• Experience coordinating events, meetings, conferences, hospitality operations, facilities, or similar logistics.

Responsibilities

• Coordinate the operational and logistical execution of College and external events from final planning through completion, including setup, execution, teardown, and restoration.
• Develop event timelines, checklists, room diagrams, and day-of-event plans meeting safety and operational standards.
• Conduct walkthroughs, pre-event meetings, and readiness checks to confirm requirements and resolve issues.
• Serve as the on-site primary operational contact, coordinating facilities, technology, food service, security, vendors, and setup.
• Collaborate with Facilities, IT/AV, food service, security, and custodial services to communicate schedules and requirements.
• Meet with organizers and clients to understand needs and advise on spaces, configurations, tech, and access.
• Coordinate vendors, caterers, rental firms, and entertainment providers including scheduling and access.
• Monitor events during execution and adjust plans as needed.
• Maintain schedules, floor plans, vendor records, checklists, and documentation.
• Identify opportunities to standardize procedures and improve event operations.
