Overview
Ellit Groups is seeking skilled Epic professionals to support one of the nation’s largest multi-year Epic implementations. This enterprise initiative will unify dozens of existing electronic medical record systems into a single Epic platform, ultimately serving more than 100,000 end users across hospitals, practices, and ancillary services.
Project Timeline
- Phase 1 Go-Live: Scheduled for November 1, 2025, with approximately 35,000 users moving onto Epic.
- Phases 2 & 3: Will transition the next 65,000+ users in waves through 2026 and into early 2027.
- Phases 4 & 5: Two additional waves are planned, carrying the project through to early 2028.
- This project represents one of the largest Epic activations in U.S. healthcare history.
About the Role
We are seeking a Senior Patient Access Manager to lead, mentor, and strengthen our Patient Access applications team. This team supports Cadence, Prelude/Eligibility, Health Information Management (HIM), and Referrals, with close collaboration across specialty modules and third-party integrations.
The Senior Patient Access Manager will balance technical expertise in Epic Patient Access applications with a strong focus on coaching managers, mentoring analysts, and building long-term operational stability. This role will help streamline cross-team workflows, clarify ownership of scheduling-related build, and ensure that best practices are standardized across applications.
Key Responsibilities
- Mentor and develop Patient Access managers, providing guidance on team management, task prioritization, and workload estimation.
- Foster a culture of accountability, knowledge-sharing, and professional growth across the Patient Access team.
- Partner with managers to anticipate escalations and proactively resolve conflicts or bottlenecks.
- Operational Oversight
- Oversee Cadence, Prelude/Eligibility, HIM, and Referrals teams, ensuring timely resolution of escalated issues (with particular focus on Cadence).
- Align scheduling-related build ownership across Cadence, specialty modules (Beacon, Beans), and collaborating teams (Cupid, Radiant).
- Ensure best practice standards are documented, communicated, and consistently followed across applications.
- Collaborate with Inpatient Clinicals leadership on Grand Central when necessary.
- Strategic Initiatives & Integrations
- Support third-party integrations (e.g., Salesforce, custom patient portal) and ensure seamless alignment with Epic systems.
- Partner with the PMO and leadership to plan and support Wave 1 stabilization and Wave 2 rollouts.
- Provide input into long-term roadmap planning and resource forecasting.
- Serve as a liaison between Patient Access, clinical applications, and technical teams to ensure clear ownership and efficient workflows.
- Contribute to governance decisions regarding scheduling build standards and integration of patient-facing tools.
- Represent Patient Access in executive discussions and cross-functional planning.
Qualifications
- Bachelor’s degree in Healthcare Administration, Information Systems, or related field (Master’s preferred).
- 7+ years of progressive leadership experience in healthcare IT or patient access operations, with direct Epic application oversight.
- Strong Epic expertise in Cadence and Prelude/Eligibility (certification preferred).
- Experience mentoring managers and leading high-performing teams in complex healthcare environments.
- Proven ability to manage escalations, prioritize competing demands, and coach leaders on effective task management.
- Experience with third-party integrations and patient portal strategies strongly preferred.
- Excellent communication, problem-solving, and organizational skills.
