Job Summary

The Senior Document Control Specialist is responsible for managing and continuously improving the company's document control function to ensure the integrity, accessibility, and compliance of controlled documentation throughout its lifecycle. This role serves as the primary subject matter expert for document control processes and systems and partners with Engineering, Quality, Manufacturing, Supply Chain, and Corporate functions to support regulatory compliance, product development, and operational excellence.

Operating with minimal supervision, the Senior Document Control Specialist independently manages document control activities, administers document management systems, and drives process improvements that support the organization's quality management system. Although this position does not have direct reports, it provides functional leadership and guidance to employees involved in document creation, review, approval, and change management processes.

Roles & Responsibilities

This position has responsibility for:

  • Manage the creation, review, approval, distribution, revision, and archival of controlled documents and records.
  • Maintain document control processes, standards, and procedures to ensure consistency and compliance.
  • Administer document numbering, revision control, document retention, and records management processes.
  • Ensure controlled documentation remains accurate, accessible, and current.
  • Coordinate document and process changes associated with engineering, manufacturing, quality, and operational activities.
  • Review change requests for completeness and compliance with established procedures.
  • Facilitate approval workflows and monitor timely implementation of approved changes.
  • Maintain document traceability and audit trails throughout the change management process.
  • Support compliance with applicable quality management system requirements, including ISO 9001, IATF 16949, AS9100, customer requirements, and internal policies.
  • Support internal and external audits by providing required documentation and records.
  • Conduct periodic reviews of document control practices to identify compliance risks and improvement opportunities.
  • Participate in corrective and preventive action activities related to documentation and records management.
  • Administer electronic document management systems, PLM systems, and related document repositories.
  • Monitor document control performance metrics and identify opportunities to improve efficiency and effectiveness.
  • Lead projects to improve document workflows, reduce cycle times, and enhance user experience.
  • Support document migration, system upgrades, and process automation initiatives.
  • Serve as the primary resource for document control policies, procedures, and system-related questions.
  • Train employees on document control requirements and best practices.
  • Partner with cross-functional teams to promote consistent application of documentation standards.
  • Influence stakeholders to adopt compliant and efficient document management practices.
Minimum Qualifications (Experience and Skills)
  • 6-8 years of experience in document control, quality systems, records management, or a related discipline within a manufacturing or regulated environment.
  • Experience supporting document control processes within PLM, QMS, ERP, or electronic document management systems.
  • Working knowledge of change control, revision control, records retention, and quality management systems.
  • Experience supporting audits and compliance activities.
  • Strong analytical, organizational, and problem-solving skills, with a strong attention to details.
  • Excellent written and verbal communication skills.
  • Ability to work cross functionally with all levels of the organisation
Preferred Qualifications
  • Semiconductor industry experience.
  • Experience with Agile PLM, Arena, Windchill, Teamcenter, MasterControl, or similar document management systems.
  • Knowledge of ISO 9001, AS9100, IATF 16949, or related quality standards.
  • Experience leading process improvement initiatives.
  • ASQ, AIIM, Lean, or related professional certification.
Education Requirements
  • Bachelor's degree in Business Administration, Information Management, Engineering, Quality, Operations, or related field.
