Qualifications

  • Bachelor's degree required.
  • Five+ years of experience in event planning, event operations, project management, higher education advancement, hospitality, or related field.
  • Experience planning complex, multi-day events is preferred.
  • Experience with event management platforms such as Cvent or similar registration software is preferred.
  • Experience working with technical teams to support event technology and system enhancements is preferred.
  • Experience managing event budgets, vendor relationships, purchase orders, and invoices preferred.

Responsibilities

  • Lead end-to-end logistical planning and execution of major on-campus events (Reunion, Homecoming, Family Weekend, Great Names Series, athletics, and private societies reunions).
  • Serve as liaison to Campus Events & Scheduling Office, Facilities Management, Campus Safety, Parkhurst, and other service providers.
  • Partner with Alumni Relations in reunion committee planning meetings and implement approved plans.
  • Serve as the department's primary Cvent user, managing registration, site builds, communications, and reporting for major events.
  • Develop and manage comprehensive project plans, production schedules, timelines, and milestones from planning through post-event evaluation.
  • Oversee on-site event operations, supervising setups and resolving issues for a high-quality participant experience.
  • Direct all operational details for events (venue, vendors, menus, room layouts, AV, transportation, lodging, signage).
  • Provide regular project updates to leadership and attend Event Team planning meetings.
