Job description

The Senior Coordinator, Brand & Sales Operations is responsible for end-to-end coordination of product lifecycle and sales operations for Bandai Card Games - Organized Play in North America. This role serves as a key liaison between Japan headquarters, U.S. internal teams (Irvine, CA and Dallas, TX), and external distribution partners, ensuring accurate product setup, order execution, delivery coordination, and financial tracking. This position requires strong cross‑functional communication skills, attention to detail, and the ability to manage multiple operational processes in a fast‑paced, international environment.

Essential Job Functions
  • Product Setup & Coordination
  • Monitor and manage product release schedules from Japan, including offer launch and order timing.
  • Collect product information from Japan and prepare item setup details (e.g., SKU/item codes).
  • Coordinate with internal teams (e.g., Irvine office) to ensure timely and accurate product registration in company systems.
  • Order Management & Sales Coordination
  • Coordinate with Japan-based sales teams to initiate order solicitation activities.
  • Review and validate purchase orders (POs) received from distributors.
  • Prepare and coordinate order processing, ensuring accuracy of quantities and alignment with forecasts.
  • Procurement & Production Coordination
  • Obtain product quotations from Japan and confirm pricing details.
  • Coordinate factory order placement based on approved quotes and demand.
  • Work with internal teams to complete system input and procurement processes.
  • Delivery & Fulfillment Oversight
  • Issue order confirmations (CO) and communicate delivery schedules to distributors.
  • Coordinate with internal stakeholders to validate delivery quantities and invoice accuracy.
  • Ensure sales transactions are correctly recorded in the financial system following delivery.
  • Issue Resolution & Cross-Border Communication
  • Manage delivery delays, product issues, and operational exceptions by coordinating with Japan HQ, factories, and internal teams.
  • Support resolution of discrepancies such as shipment shortages or invoicing issues.
  • Expense & Invoice Processing
  • Process invoices related to marketing and promotional activities and submit them to Finance through internal systems.
  • Financial Monitoring & Reporting
  • Review monthly revenue and expense data to ensure there is no timing differences.
  • Compile the monthly report format and report it to Irvine and Japan.
