Sea Island Company is seeking a Senior Cottage Rentals Coordinator to join our team in Saint Simons Island, Georgia. In this role, you will deliver extraordinary owner and guest experiences while coordinating operations and maintaining quality service standards.

As a Senior Cottage Rentals Coordinator, you are an integral part of the Sea Island Cottage Rentals operation. You will serve the Cottage Operations, to include Maintenance, Owner Services, Housekeeping and Concierge team, by providing luxury experiences and Sea Island care that our guests and owners deserve and expect. You deliver extraordinary Owner and guest experience daily. You are a gracious ambassador for Sea Island with every interaction. You support team members in providing friendly, attentive, and timely Five Star guest service. You will coordinate work orders to ensure timely completion/reporting for further repair through Property Services or vendors. Reporting through work order software, you will analyze trends and assist Operations Leaders to include the General Manager of Cottage Rentals with planning to determine next steps. You assist the Housekeeping Coordinator with daily duties as needed and directed. You coordinate with housekeeping/maintenance leadership to stay abreast of maintenance issues and assist in solving. You assist Owner Services department with timely processing/posting of invoices/charges to owners related to maintenance/inventories of cottages and onboarding follow up. You assist Concierge with ensuring the administrative and reservations tasks to completion and offering support to Front Office through possible team member assistance and/or direction by utilizing critical thinking. You develop and maintain pars and inventories of kitchen equipment, guest loaner items, linens, lightbulbs, uniforms, and other miscellaneous guest and operating supplies. You may oversee a team of coordinators depending upon the needs of the department.
You order items and develop the requisition process for each item requested. You manage guest loaner items and ensure owners are charged for replacement/repair. You minimize costs of above items through bulk ordering, partnering with Purchasing Department, and other methods. You assist with and help maintain key/linen inventories. You are responsible for multiple administrative functions, to include, but not limited to processing invoices, approving timecards, scheduling staff, scheduling work orders, billing owners, coordinating new Owner onboarding, managing and maintaining Owner and Social reservations experience, and reviewing monthly statements.
You will learn how to consistently uphold and ensure compliance with departmental procedures, including standards for quality, timing, attendance, appearance. You follow and ensure all Sea Island safety protocols are consistently met. You maintain situational awareness of your surroundings, keeping an eye on all areas for tidiness and any general maintenance issues, ensuring that all are corrected or reported immediately. You are generous with your support and help resolve any service issues that arise in a timely and positive way, following up as needed. You are proactive in aiding when needed and are willing to help with other areas or duties as requested. You are willing and can timely execute other duties as delegated by leadership. You play a key role in the training, development, and scheduling of team members, and lead by example. You have an important role as a liaison between Front Office/Guest Services and other resort operations teams, working especially closely with Housekeeping, Engineering, Reservations and Accounting.
