We continually seek to perfect our craft of personalized financial planning with our team-based Roundtable and UniFi processes. We proudly provide unique financial plans and investment management services to over 90,000 households nationwide.

Position

The Senior Client Service Associate will serve as the liaison between the client and Financial Advisors (FAs), ensuring smooth office operations. This hybrid position requires a foundation of financial knowledge, attention to detail, and ability to manage multiple tasks.

Location: Iselin, NJ. When available, this role works in‑office 3‑4 days per week.

Compensation

Base salary range: $70,000.00 to $80,000.00 (exclusive of bonuses and benefits). Eligible for a discretionary team bonus. The entire salary grade for this level is $51,450.00 to $84,000.00.

Responsibilities
  • Client Communication
    • Answer phone calls and respond to client messages.
    • Send routine follow‑ups and status updates.
    • Prepare and send meeting reminders.
    • Manage inbound client requests (beneficiary updates, address changes, RMD questions, etc.).
  • Meeting Preparation
    • Prepare meeting agendas and supporting documents.
    • Print or assemble financial plans, reports, and statements.
    • Ensure the advisor has everything needed to run a clean, efficient meeting.
  • Post‑Meeting Follow‑Up
    • Complete tasks discussed in client meetings.
    • Update client records and CRM notes.
  • Account Operations & Administrative Processing
    • New Accounts & Transfers – gather documents, prepare paperwork, submit ACAT transfers or rollovers, track progress, and follow up with custodians.
    • Money Movement – set up contributions, withdrawals, systematic investments; process checks, wires, and ACH requests; verify completion and notify advisor/client.
    • Required Minimum Distributions (RMDs) – create annual RMD lists, coordinate timing and distribution method, ensure documentation is accurate and timely.
    • Ongoing Maintenance – beneficiary updates, address changes, add POA and TOD designations, update risk tolerance or investment objectives in custodian system.
  • Advisor Productivity & Practice Management
    • Calendar & Workflow Management – schedule client and prospect meetings; keep advisor on track with upcoming deadlines.
    • CRM (Salesforce) Management – update contact records, enter meeting notes, maintain task lists and reminders, run reports to assist outreach.
    • Marketing Support – send client newsletters, utilize automated marketing platforms, coordinate client events, manage holiday cards and appreciation touches, assist with client segmentation lists.
  • Document Preparation & Advisor Support – performance reports, proposals, financial plan printouts or digital packets, new client onboarding packets, custodial forms and paperwork templates.
  • Professionalism & Client Interaction
    • Represent the advisory practice professionally.
    • Greet clients warmly and build rapport.
    • Follow up proactively to reduce advisor workload.
Qualifications
  • 5+ years of financial services experience preferred.
  • Proficient with Microsoft Office Suite or related software.
  • Familiarity with Salesforce preferred.
  • Experience with Schwab, Fidelity, and/or Raymond James platforms preferred.
  • Ability to work with deadlines, be flexible under pressure, and prioritize work.
  • Strong attention to detail and good problem‑solving skills.
  • Superior verbal and written communication skills.
  • Desire to build strong relationships with clients.
