Job Description:
Provide administrative support for the VP of Technical Operations and Sr. Director of Architecture and Standards
Manage calendar, contacts and schedule meetings within Siemens, and with outside partners
Configure, maintain and update Microsoft SharePoint collaboration sites working with the Enterprise Software Solutions staff
Calendar and team collaboration management using tools like MS Outlook and SharePoint including maintenance of distribution and access lists
Assist with special projects including analyzing data and developing slides for Operations reviews and other quarterly reports
Assist managers with expense reports, purchasing card transactions and related documentation
Assist in making both domestic and international travel arrangements, passport/visa applications and related travel needs including remote meeting planning and collaboration with administrators at various Siemen’s sites
Order office supplies and related equipment, professional society memberships, trade journal subscriptions
Assist managers’ needs for hiring, termination onboarding and SoW processes including the opening of personnel requisitions, arranging interview schedules, assisting visiting candidates and assisting with coordination of other employee related processes including tracking of contractors
Responsible for the meeting planning and logistics for the Leadership team
Meeting attendance and assistance with documenting and tracking action items
Liaison with facilities to help coordinate office moves, space planning and conference room set up.
Job Qualifications:
Bachelor’s degree desired with preferred 5+ years of executive administrative experience.
Proven administrative and communication skills required including, setting up global meetings using audio/video/web conferencing tools.
Proficient in working on a PC using Microsoft Outlook, Teams, Sharepoint, Powerpoint, Excel (including formula creation and editing), Word, and Workday.
Experience administering SharePoint is desired. Ability to organize, multi-task, exercise discretion and initiative are a must.
Experience with project tracking tools is desired. Ability to decompose tasks, define objectives, and manage dependencies are key attributes for the role.
Experience providing administrative support for Director, VP Level and above. Excellent problem-solving ability. Ability to use general direction to define objectives and track execution and dependencies.
Ability to synthesize information into succinct targeted messages and presentations appropriate to the audience.
Experience in working in a global company with employees in multiple time zones

Siemens Software. Transform the Everyday
The hourly range for this position is $32.40 to $58.31 and this role is eligible to earn incentive compensation. The actual compensation offered is based on the successful candidate’s work location as well as additional factors, including job-related skills, experience, and relevant education/training.
