The Senior Administrative Assistant role plays an important part in supporting operational excellence and advancing the institution's mission through high-quality administrative and departmental support.

Within the Department of Neurosurgery, the Senior Administrative Assistant provides comprehensive administrative, faculty, and research grant support. The Senior Administrative Assistant serves as a key resource for departmental operations, while the Senior Administrative Assistant helps facilitate communication, scheduling, grant activities, and faculty support functions that contribute to departmental success.

The ideal candidate for the Senior Administrative Assistant role will have experience providing advanced administrative support. Candidates should demonstrate strong calendar management skills, exceptional time management and organizational abilities, and experience coordinating complex schedules for multiple stakeholders. Preference may be given to individuals with calendaring experience, and experience processing travel and reimbursement requests.

Salary Range: Minimum $45,500 - Midpoint $57,000 - Maximum $68,500
Hourly Equivalent: Minimum $21.87 - Midpoint $27.40 - Maximum $32.93
Work Location: Houston, Tx. Texas Medical Center.
This role requires candidates to work onsite daily for the first three months to support training, onboarding, and seamless integration with the team. After the initial period, the position transitions to a hybrid schedule with two onsite days per week, though additional onsite presence may be required based on business needs.

Responsibilities
Department Administrative Support
  • Answer and direct phone calls, write and distribute email, correspondence memos, letters, faxes and medical records.
  • Provide general visitor support.
  • Distribute incoming mail, coordinate soiled and clean lab coats.
  • Compose correspondence, coordinates all aspects of travel, maintains faculty calendars, schedule meetings, transcribe dictation, file, prepare check requests, screen correspondence and be aware of deadlines and other requirements that faculty and management must meet.
Faculty Support
  • Compose correspondence, coordinate all aspects of travel, maintain faculty calendars, schedule meetings, transcribe dictation, file, prepare reimbursement requests.
  • Assists with faculty licensing and credentialing.
  • Be aware of deadlines. Maintain CV updates using the Faculty Information System (FIS).
Neurosurgery Grant Activity Support
  • Supports the Department of Neurosurgery grant activity by actively participating in the preparation of research proposals, budget preparation, editing, and submission.
  • Works closely with OSP and Grants and Contracts ensuring accurate and timely grant submissions.
  • Works within the framework of multiple journal editors to have manuscripts published in a timely manner.
  • Gathers relevant data from collaborators within the institution and nationwide.
  • Provides training for support staff and serves as the department's primary resource in grant preparation; assists and monitors updates to biographical sketch and other support documents, according to sponsor requirements.

  • Required: High School Diploma or Equivalent

WORK EXPERIENCE
  • Required: Five years Administrative/secretarial experience.

Must pass pre-employment skills test as required and administered by Human Resources.
