Job summary

Digital Federal Credit Union seeks an experienced executive assistant to partner with and support senior leaders. You will manage calendars, coordinate multi-time zone meetings, and drive the leadership rhythm across planning cycles and forums.

You will plan leadership events, handle complex travel logistics, prepare executive communications, and oversee expenses to ensure compliance. The role requires discretion, strong collaboration, and the ability to navigate ambiguous, high-pressure

Qualifications

  • Bachelor's degree or 4 additional years of relevant experience in lieu of a degree.
  • 6–8 years of relevant experience.
  • Demonstrated experience supporting C-suite or senior executive leaders in a matrixed organization.
  • Ability to manage events/meetings for varied audiences.
  • Experience managing complex travel and logistics domestically.
  • Proven ability to support leadership operating rhythms (e.g., recurring meetings, planning cycles, executive forums).
  • Proficiency with productivity and collaboration tools.
  • Ability to operate effectively in ambiguous and high pressure situations.

Responsibilities

  • Manage executive calendars and priorities by coordinating complex, multi time zone calendars.
  • Support the operating rhythm by coordinating key meetings, planning cycles, and recurring forums for executives.
  • Plan and execute leadership meetings and events including offsites, all hands, and forums, managing logistics and materials.
  • Coordinate complex travel and logistics by managing domestic travel arrangements and expense processes that are in line with policies.
  • Prepare and manage executive communications and materials for diverse audiences with accuracy and discretion.
  • Oversee expense management and financial compliance by preparing, submitting, and tracking expense reports.
  • Partner cross functionally to enable execution by coordinating with leaders, teams, and external stakeholders with the admin team.
  • Maintain and improve administrative processes by applying standard tools, templates, and procedures.
  • Manage workspace and resource logistics to support team needs during growth, moves, or organizational changes.
  • Exercise judgment and confidentiality when handling sensitive information.

Acting as a trusted partner to executive officers, this position supports them and their organizations in navigating complexity with clarity and confidence. Through proactive partnership and sound judgment, the role addresses the coordination and prioritization challenges that can slow decision making and execution. The position contributes to organizational goals by enabling executive leaders to focus on decisions and priorities that drive results, while ensuring their teams remain aligned and supported.

What You'll Do :

Essential Functions:


  • Manage executive calendars and priorities by coordinating complex, multi time zone calendars.

  • Support the operating rhythm and leadership cadence by coordinating key meetings, planning cycles, and recurring forums for executives.

  • Plan and execute leadership meetings and events including offsites, all hands, and forums, managing logistics and materials.

  • Coordinate complex travel and logistics by managing domestic travel arrangements and expense processes that are in line with corporate travel & expense policies.

  • Prepare and manage executive communications and materials for a variety of audiences with a high degree of accuracy, discretion, and professionalism.

  • Oversee expense management and financial compliance by preparing, submitting, and tracking expense reports in accordance with company policies.

  • Partner cross functionally to enable execution by coordinating with leaders, teams, and external stakeholders while partnering closely with the administrative team.

  • Maintain and improve administrative processes by applying standard tools, templates, and procedures that increase efficiency.

  • Manage workspace and resource logistics to support team needs during growth, moves, or organizational changes.

  • Exercise judgment and confidentiality when handling sensitive information.


Essential Skills:


Education & Experience:


  • Bachelors degree in field relevant to role (or 4 additional years of relevant experience in lieu of a degree)

  • 6 - 8 years of relevant experience

Marlboro/Chelmsford, MA or Hillsboro, OR


Target Compensation:

$83,000 - $99,500 annually


Schedule:

Monday - Friday 8a - 5p
