Senior Account Associate or Account Manager

Our client, a Premier Packaging Design Agency in New York City, is looking for a detail‑oriented, enthusiastic, and proactive Account Associate to join our growing team. This individual will support the Account Manager and the management team across all stages of project execution and account servicing. From managing day‑to‑day client communications and project timelines to inventory oversight and internal coordination, the Account Associate plays a critical role in ensuring seamless operations, exceptional client service, and timely project delivery.

The ideal candidate is an organized, resourceful multitasker with strong communication skills and a service‑oriented mindset who thrives in a fast‑paced, entrepreneurial environment.

Responsibilities
  • Manage and prioritize multiple client projects, requests, timelines, deliverables, and action items concurrently.
  • Coordinate and participate in client meetings and showroom visits, including preparing agendas, and weekly internal status meetings and client presentations, and follow‑ups.
  • Serve as a primary liaison for client communication, ensuring updates, deadlines, and next steps are clearly conveyed both internally and externally.
  • Process client orders, quotes, contracts and maintain detailed client records, call notes, and sales pipeline updates.
  • Own the execution and tracking of client orders and shipments, ensuring accurate and timely delivery.
  • Manage incoming leads and client inquiries, providing prompt, professional responses and routing opportunities appropriately.
  • Assist with sales research and reporting to support growth initiatives.
  • Proactively identify ways to upsell or expand services with current clients.
  • Support sales‑driven initiatives and marketing efforts as needed.
  • Support the Managing Director and executive team in various administrative functions.
  • Work collaboratively with internal teams (e.g., design, production, logistics) to ensure smooth execution and information flow.
  • Edit and proofread client‑facing documents, presentations, and design files for accuracy and professionalism.
  • Maintain up‑to‑date internal databases, client files, and shared folders for efficient project tracking.
  • Manage and analyze client inventory, usage trends, and forecasts.
  • Manage and reconcile inventory records and reports across multiple databases and platforms.
  • Assist with demand planning and product availability tracking.
  • Be adaptable, proactive, and ready to wear multiple hats to support various teams and shifting priorities as needed.
Qualifications
  • Bachelor’s Degree required
  • Minimum 4+ years of professional experience in client services, account management, or project coordination (preferably in a fast‑paced, design, packaging, or production‑related environment)
  • Meticulous attention to detail with strong organizational and follow‑through abilities
  • Excellent written and verbal communication skills
  • Strong sense of urgency and accountability with the ability to manage time and deadlines effectively
  • Self‑starter with a collaborative mindset and ability to work both independently and as part of a small team
  • Experience with ERP systems such as NetSuite and demand planning is a strong plus
  • Proficient in Microsoft Office (Excel, Word) and Google Workspace (Gmail, Calendar, Sheets)
