Job summary

Carnegie Mellon University’s Biological Sciences department seeks a Senior Academic Program Manager to lead program operations and cross‑department coordination. You will work with the Undergraduate Studies Director, HPP Director, department Head, and faculty to support students.

The role requires a Bachelor’s in Biological Sciences or related field, plus experience in higher education administration, advising, and curriculum management.

Qualifications

• Bachelor's degree in Biological Sciences or related field required.
• Experience in higher education, administrative support, student services, purchasing, and/or academic program management.
• Education marketing/outreach experience preferred.
• Strong relationship building, organization, problem-solving and reasoning skills required.
• Strong oral and written communication skills preferred.
• Strong technical skills preferred (Google Suite, Microsoft Suite).
• A combination of education and proven experience from which comparable knowledge is demonstrated may be considered.

Responsibilities

• Administer courses, rosters, and registration processes in S3 (student information system); generate reports for enrollment tracking and maintain departmental & HPP academic records.
• Coordinate exam scheduling, classroom changes, and communicate updates to faculty with Registrar’s Office.
• Support curriculum management by maintaining websites, catalog, and audit systems; coordinate CUE meetings and policy changes.
• Manage advisor scheduling and roster, assess student engagement with advising resources, and handle departmental and HPP inboxes and communications.
• Provide operational support for instruction, including grading timelines, TA coordination, course materials, and faculty reviews.
• Lead undergraduate diploma ceremonies and coordinate Master’s/PhD ceremonies; collaborate with other departments for shared spaces.
• Manage registration for undergraduate research for credit and oversee honors thesis programs and records.
• Support departmental events, student activities, and grants; assist with alumni engagement and prospective student events.
• Supervise work-study students and volunteers; perform other duties to support operations.
