Job summary

The role focuses on organizing, documenting, and executing administrative tasks for security projects, requiring detail orientation and strong organization.

Qualifications

• 3+ years in construction or security contracting; project admin experience preferred.
• Strong knowledge of construction documentation and processes.
• Proficiency with MS Office Suite and project management software.
• AutoCAD experience is a plus.
• Excellent organizational and time-management skills.
• Strong written and verbal communication.

Responsibilities

• Provide administrative support to project managers and field supervisors for security projects.
• Prepare and manage project documentation, including contracts, submittals, RFIs, and closeout packages.
• Maintain and update project files and documentation logs.
• Track project schedules and deadlines, ensuring timely submissions.
• Coordinate with vendors, subcontractors, and clients regarding project status and documentation.
• Assist in preparing Direct Owner Purchase billing and invoicing documentation.
• Help ensure compliance with local, state, and federal regulations and company safety policies.
• Organize and schedule project meetings, prepare agendas, and take meeting minutes as needed.
• Generating work orders.
• Invoice service tickets.
• Assist with permitting for several municipalities.
