Job summary

The Tennessee Wildlife Federation is seeking a Program Administration Manager to oversee administrative, financial, and technical functions supporting the TN Scholastic Clay Target Program (SCTP). You will manage documentation, compliance, data systems, and budgeting, partnering with the SCTP Manager and Director of Programs to support statewide operations.

Qualifications

• Bachelor’s degree or equivalent professional experience.
• 5+ years of progressively responsible administrative experience supporting organizational operations, financial processes, or program management.
• Experience working in youth programs, sports programs, or nonprofit environments preferred.
• Familiarity with TNSCTP CONNECT or similar platforms preferred.
• Proficiency with Microsoft Office 365 and Google Suite.
• Current First Aid/CPR certification (or willingness to obtain).
• No history of game or wildlife violations.

Responsibilities

• Manage administrative systems that support TNSCTP operations, ensuring documentation, compliance processes, and workflow standards are applied.
• Maintain official program records, including contracts, waivers, and policy forms.
• Oversee processing and reconciliation of registrations, sponsorships, and financial records.
• Coordinate administrative readiness for events, trainings, and meetings.
• Support communication workflows for coaches, parents, and athletes.
• Coordinate with Communications to maintain website content and program resources.
• Lead sponsor outreach and track sponsorship documentation and agreements.
• Prepare quarterly administrative reports for leadership and funder updates.
• Manage data systems and ensure secure, organized records.
