This position reports to the Principal and supports budgeting, accounts, and financial reporting across school accounts, clubs, and activities.

Responsibilities

  • Performs bookkeeping activities: create purchase orders, receipts, deposits, journals, and monthly balance sheets.
  • Manage vendor payments, verify amounts, and schedule deliveries.
  • Reconcile bank statements and school accounts; assist with year-end closing.
  • Prepare and review reports for the Board and State accounting requirements.
  • Oversee student activity funds and school fundraising reports.
  • Provide back-up support to other school administrative staff.
  • Assist with budget development and monitor expenditures and revenue.

School Bookkeeper

The job of School Bookkeeper is to perform general accounting and administrative duties in the School System using knowledge of accounting principles and practices as outlined in the TN Internal School Uniform Accounting Policy Manualand school board policy. To ensure that fiscal and business practices are above reproach and are conducted in such a manner as to assist in providing the best possible educational services within fiscal constraints. The position requires the ability to utilize initiative and good judgment in the scheduling of work, ensuring the accuracy of work and in assisting students or teachers with problems.

This job reports to Principal.

Functions

The work tasks will vary based on school size and individual administrator's management/administrative requirements, but the incumbent should be familiar with all functions and be prepared to accomplish them. The following duties are normal for the job. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

  • Performs bookkeeping activities for school by filling out purchase orders, receipting monies received, preparing bank deposits, maintaining a journal of revenues and disbursements, writing checks, and preparing monthly balance sheet, maintains separate accounts for each club or organization and for each type of fund, restricted or
  • Processes vendor requests for payments, checks prices, verifies amounts received, scheduled delivery dates, shipping terms and reconcile
  • Monitors requisitions and purchase orders for approved expenditures and monitors receipt of and payment for supplies, equipment and
  • Reconciles individual school accounts and reviews for accuracy all fundraiser financial reports. Investigates any discrepancies.
  • Analyzes monthly bank statement ensuring that all bank charges ae proper and authorized. Reconciles bank statement and provides reconciliation to administration for review and approval. Authorized as one of the check signers as all checks require dual signatures.
  • Prepares, maintains and accounts for tickets issued through athletic, class and club accounts. Computes ticket reconcilements and records said deposits.
  • Secures authorization to pay for capital equipment and other durable items as
  • Responsible for yearend closing. Verifies accuracy of the accounts and runs year end reports for administration's approval.
  • Reconciles the various school accounts and assists in school system or outside agency
  • Assists with budget development and monitors expenditures and revenue
  • Establishes and maintains a computer based program of accounting in accordance with Board policy, Department of Education policy/regulations, adequate to record in detail all money and credit
  • Establishes programs and procedures for the collection, safekeeping and distribution of all
  • Prepares and submits reports to the Board and State in accordance with the State accounting
  • Manages the various school student activity funds with sound business practices, budgeting, purchasing and accounting procedures.
  • Assists the principal in the development and management of the school's student activity
  • Assists the principal in the fiscal operations of class (if applicable) and club accounts. These accounts are subject to restricted account procedures.
  • Assists the principal in the collection of funds for the Board (lost or damaged books and equipment)
  • Serves as back-up to other school administrative staff as
  • Prepares orders for educational supplies, receives bids and quotes for supplies and
  • Assumes other special activities and/or responsibilities as assigned by the principal or
  • Serves as the principal fiscal advisor to the school principal. Receives guidance and direction from the principal.
  • Training new teachers in fee collection process.
  • Requires the ability of speaking and/or signaling people to convey or exchange administrative and financial information. Includes giving assignments and/or directions to co-workers or assistants.
  • A regular and dependable level of attendance is an essential function for this position.
