MINIMUM QUALIFICATIONS:
- Education Level: High School Diploma or GED
- Certification/License Required: N/A
- Experience: Five or more years of related experience
- Proficiency Skills: Written and oral communication skills, ability to make decisions on behalf of the students, staff and community as necessary and deal with multiple tasks, computer competence, typing and proof-reading skills
- Personal Skills: Pleasant personality, cooperative attitude and experience in working effectively with administrators and other staff personnel
REPORTS TO: Principal
PERFORMANCE RESPONSIBILITIES:
- Demonstrate prompt and regular attendance.
- Becomes familiar with Board policies and procedures relating to business processes and internal controls, informs staff of these procedures, and helps direct the staff to proper forms, etc.
- Maintains a working knowledge of the State Chart of Accounts.
- Maintains and manages files, records, office supplies, materials, and equipment in an appropriate, accessible, and current manner, including records necessary for reporting and accountability.
- Maintains an automated Activity Accounting System and provides information regarding accounts as requested.
- Maintains bank accounts, including monthly reconciliation with appropriate approvals.
- Submits monthly reports to the central office in a timely manner.
- Prepares and processes purchase orders and work orders as needed.
- Communicates with vendors acquiring quotes as required by approved procedures.
- Maintains the skills to keep payroll records as required by the central office.
- Prepare payroll requisitions as needed for special programs.
- Serves as liaison to the central office in the handling of insurance matters, workers compensation claims, etc.
- Prepare receipts and process deposits in a timely manner. Record all monies collected appropriately.
- Process all county invoices for the school.
- Process and pay all school invoices.
- Performs weekly reviews of county and school account balances.
- Ensures primary workstation and responsibilities are covered at all times during the working day.
- Receives and returns telephone calls on behalf of the supervisor as requested using high standards of telephone techniques.
- Greets visitors in a courteous and professional manner; provides information and handles routine business associated with a busy, productive, and smoothly run office.
- Acts in a professional manner and maintains a professional attitude towards the public and colleagues; adheres to cultural diversity guidelines and exhibits the fundamentals of good public/customer service.
- Complies with school, system, state and federal regulations and policies, including the PSC Code of Ethics, as related to job requirements.
- Maintains confidentiality of sensitive information and material; adheres to chain of command.
- Maintains a professional appearance as appropriate for job responsibilities.
- Maintains and improves knowledge and skills to promote proficiency in the operations of an organized, modern, updated, and efficient office.
- Participates in workshops and staff development activities and applies what is learned to the job; accepts new challenges in a professional manner.
- Shows initiative and assumes responsibility for all aspects of job responsibilities; performs routine duties and tases with little or no direct supervision.
- Exhibits time on task and a flexible, cooperative, progressive, and hard-working attitude and style. Limits personal business and phone calls during work hours.
- Enhances the climate of the building and morale of colleagues.
- Demonstrates loyalty to the school system and administration.
- Acts as a backup for the receptionist.
- Perform other duties as assigned.
TERMS OF EMPLOYMENT: 230-day position. Salary based on Board approved salary.
EVALUATION: Performance of this job will be evaluated annually by the Principal or designee.
