The Hebrew Free Loan Society (HFLS) advances financial stability and upward mobility for lower-income New Yorkers of all backgrounds by making safe, affordable interest-free loans.

HFLS is the largest nonprofit interest-free lender in the United States. We have been making loans based on financial need to borrowers of all backgrounds since 1892. Our repayment rate is 99%, the result of a unique lending model that relies on guarantors to prevent default. As our loans are repaid, the capital is lent out again and again, helping more people and multiplying our impact over time.

ABOUT THE SCHOLARSHIP PROGRAM

On behalf of UJA-Federation of New York, HFLS administers four scholarship programs: three serving college and university students and one serving eligible families with children attending Jewish day schools. Together, these programs require coordinated application administration, applicant support, eligibility review, award processing, database management, reconciliation, and reporting.

THE OPPORTUNITY

The Scholarship Coordinator is a full-time, year-round role responsible for the day-to-day administration of all four scholarship programs. Reporting to the Director of Finance & Administration, the Coordinator will guide applicants through the process, maintain accurate records in Zengine and Salesforce, support scholarship committee review and award distribution, and prepare timely reports and reconciliations for HFLS and UJA-Federation. The successful candidate will combine excellent customer service with careful data management, sound judgment, discretion, and strong follow-through.

RESPONSIBILITIES

Applicant Support and Program Administration

  • Serve as the primary point of contact for college students, day school families, financial aid offices, and other program stakeholders; respond promptly and professionally to inquiries.
  • Assist applicants with account creation, login, duplicate account, document upload, incomplete-application, and other portal issues; troubleshoot routine matters and elevate technical issues when needed.
  • Monitor application pipelines and deadlines, send approved reminders and decision communications, track responses, and document applicant contacts in the appropriate database.
  • Review applications and supporting documents for completeness and eligibility in accordance with each scholarship’s criteria, including applicable enrollment, financial need, income, employment, school, and program-track requirements.
  • Verify selected applicants’ enrollment, employment, tuition, financial aid, or other required information and follow up on missing or inconsistent documentation.

College Scholarship Administration

  • Coordinate the annual application and review cycle for the three college and university scholarship programs.
  • Review and assess student applications and financial aid documentation; communicate with applicants and college financial aid or bursars offices to resolve outstanding items.
  • Prepare complete application materials and decision lists for scholarship committee review; support committee meeting logistics and accurately record award and denial decisions.
  • Coordinate scholarship disbursements to educational institutions, maintain payment records, and collect the student and award data required for annual reporting and reconciliation.
  • Review portal-generated eligibility flags and confirm eligibility under the applicable day school scholarship criteria and program tracks.
  • Enter structured administrative review data, including eligibility determinations, denial reasons, income brackets, school information, and supporting notes, before applications are finalized as accepted or denied.
  • Compile accurate Eligibility Lists and Final Lists for transmission to UJA-Federation and coordinate required follow-up with participating schools and families.
  • Maintain required applicant, enrollment, tuition, award, and verification records throughout the scholarship cycle.

Systems, Data Management, and Reporting

  • Work daily in Zengine and Salesforce to review applicant contact and application records, update statuses and fields, log communications and decisions, and maintain complete audit trails.
  • Maintain reporting spreadsheets and system data connections; reconcile data across Zengine, Salesforce, Excel, and Google Sheets and investigate missing, duplicate, or inconsistent records.
  • Use list views, filters, exports, pivot tables, and lookup formulas to monitor workflow, summarize results, and validate applicant and award data.
  • Prepare monthly progress, research, eligibility, award, payment, and year-end reports for HFLS and UJA-Federation; meet all established reporting deadlines.
  • Support continuous improvement by documenting recurring applicant or system issues, recommending process enhancements, and helping test approved system updates.
  • Handle sensitive personal, educational, and household financial information in accordance with HFLS confidentiality and data-handling requirements.
THE CANDIDATE
  • This is an excellent opportunity for a recent college graduate or early-career professional seeking experience in nonprofit program administration, education, finance, operations, or data management.
  • Strong written and verbal communication skills, with the judgment and professionalism to support applicants and institutional partners.
  • Excellent organization, accuracy, attention to detail, time management, and ability to manage multiple deadlines across overlapping program cycles.
  • Strong Excel and Google Sheets skills, including sorting, filtering, pivot tables, and lookup formulas such as VLOOKUP or XLOOKUP.
  • Working knowledge of Salesforce, Zengine, or a comparable CRM or grant/application management platform is preferred; training will be provided.
  • Comfort learning new technology, working across multiple systems, and identifying and resolving data discrepancies.
  • Ability to exercise discretion, protect confidential information, take initiative, work independently, and contribute effectively as part of a team.
POSITION DETAILS

Reports To: Director of Finance & Administration
Type: Full-time/Exempt
Start Date: November 15, 2026
Location: Greater NYC area. Must be able to work from HFLS's midtown Manhattan office at least one day per week.
Compensation: $45,000-$50,000 per year, depending on experience.
