Job summary

WelbeHealth is seeking a Scheduling Specialist to coordinate participant appointments in our PACE program. You will manage scheduling, confirmations, and reminders while addressing conflicts and urgent needs with staff, families, and providers.

Ideal candidates have at least one year in healthcare and EMR experience, strong customer service, and excellent organizational skills to support vulnerable seniors with timely care and coordinated services.

Qualifications

  • High school diploma or equivalency required.
  • Minimum of one year of healthcare experience; PACE experience preferred.
  • Minimum of one year of EMR experience.
  • Outstanding customer service orientation, especially in telephone and written communications.
  • Excellent organizational and communication skills.

Responsibilities

  • Coordinate scheduling of participant appointments.
  • Troubleshoot conflicts and urgent needs with stakeholders to meet turnaround times.
  • Address cancellations and rescheduling requests and communicate changes.
  • Respond to calls, emails, and scheduling requests.
  • Maintain team member availability in source systems.
  • Communicate confirmations and reminders per department protocols.

WelbeHealth’s PACE program helps seniors stay in their homes and communities by providing medical care and community-based services. The Scheduling Specialist is accountable for coordinating participant care scheduling, including maintaining accurate team member availability for participant appointments. This role also manages cancellations and rescheduling requests, responds to calls and in-person participant needs, notifies participants regarding future appointments, and conducts other administrative tasks as needed.

On The Day-to-day, You Will
  • Effectively coordinate the scheduling of participants appointments
  • Assist with troubleshooting conflicts and urgent needs, communicating with all stakeholders (staff, families, providers, etc.) to meet appointment turn-around times
  • Address cancellation and rescheduling requests from both staff members and participants, ensuring changes are appropriately managed and promptly communicated to all parties
  • Respond to incoming phone calls, emails, and contacts as scheduling requests are received
  • Maintain and update team member availability in source systems to ensure accurate information is reflected at all times
  • Communicate appointment confirmations and appointment reminders as outlined by department protocols, updating appointments as appropriate
Job Requirements Include
  • High school diploma or equivalency required
  • Minimum of one (1) year of healthcare experience required; PACE experience preferred
  • Minimum of one (1) year of experience with Electronic Medical Records (EMR)
  • Outstanding customer service orientation, especially in telephone and written communications
  • Excellent organizational and communication skills

We are seeking a Scheduling Specialist that ideally has PACE or medical scheduling experience.

Compensation consists of base salary plus bonus. WelbeHealth offers a competitive total rewards package that includes a 401(k) match, comprehensive healthcare coverage, and a broad range of additional benefits. Actual compensation will be determined based on experience and relevant qualifications.

Compensation Offering

$23.23—$30.66 USD
