MemorialCare Health System is seeking a Scheduling Specialist to coordinate all patient care functions for surgical services, including scheduling office visits and procedures at external/internal locations, and ensuring all required information is obtained for surgical services.

The role requires at least 1 year in a medical setting, customer service experience, and knowledge of medical terminology, with a Day shift in Orange, CA.

Qualifications

  • Minimum one year experience in medical field (ambulatory care preferred).
  • Prior medical office experience preferred.
  • Must have a minimum of 1 year of customer service and have worked with computers.
  • High School graduate or equivalent required.
  • Current AHA BLS for Healthcare Provider required.

Responsibilities

  • Coordinate patient care scheduling for procedures and office visits across hospital/facility blocks and providers.
  • Collaborate with departments to schedule complex procedures, add-ons, and emergent cases.
  • Coordinate with patients' Primary Care Providers for pre-op requirements.
  • Verify referrals, insurance, authorizations, and patient demographics.
  • Document in patient charts in a timely manner and ensure information is complete.

Shift: Days (8hr shifts)

Pay Range: $22.50/hr - $31.57/hr

Position Summary

Coordinate all patient care functions utilizing the five (5) Simply Better steps with every patient and team member interaction for surgical services that include: scheduling office visits, procedure(s) at external/internal locations and obtaining needed information/documentation for patient to meet the requirements for surgical services.

Essential Functions and Responsibilities of the Job
  1. Assists in the coordination of the Patient Procedure/Surgical schedule: work with hospital/facility block time and providers schedules. Surgery Scheduler II 3
  2. Collaborates in the management and scheduling of complex procedural or surgical procedures that may require multiple appointments, as well as add-ons and emergent procedures, facilitating communication between patients, physicians, multiple departments, facilities, and staff members.
  3. Coordinate with patients Primary Care Provider for Pre-Op study requirements.
  4. Ensure all referrals, insurance, & authorizations are obtained prior to surgery/procedure. Verify patient demographics, insurance and pharmacy information.
  5. Maintain knowledge of computer scheduling functions using proper registration protocols with all new patients. Edit existing patient data as needed and utilize appropriate visit types.
  6. Communicate effectively with patients regarding changes in schedule, issues, and physician office concerns.
  7. One week prior to procedure, contact patient to confirm appointment, review all necessary instructions, forms and procedure preparations are completed.
  8. Process specialist requests correctly and prioritize based on urgency
  9. Respond in a timely manner, to inquiries about medical group concerning insurance coverage, specialty providers, claim issues, disability questions, and general information.
  10. Work in conjunction with other departments to educate patients, physicians and staff about insurance related protocols/benefits
  11. Coordinate ambulatory care discharge activities requested by physician. Review and promote compliance with patient care plan.
  12. Document in patient chart in a timely manner.
  13. Obtain outside medical records/reports as required and provide to physician as needed.
  14. Perform any additional or miscellaneous duties as requested by the management team within the scope of knowledge and ability.

*Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications. Qualifications
Experience
  • Minimum one (1) year experience in medical field (Medical Assistant, Customer Service Representative, Front Office Assistant, or other) in ambulatory care preferred.
  • Prior medical office experience preferred.
  • Must have a minimum of 1 year of customer service in any field and have worked with computers.
Education
  • High School graduate or equivalent required.
  • Strong knowledge of Medical Terminology preferred
  • Current AHA BLS for Healthcare Provider required
