Job Details

Level: Entry • Location: Hudson, WI 54016 • Position Type: Full Time • Education Level: High School • Travel Percentage: None • Job Shift: Any • Hours: 8a-5p, one late night (10:30a-7p) and an Urgent Care weekend rotation.

Job Summary

The primary purpose of this position is to schedule patient appointments, verify and load insurance, and ensure patients are registered in a timely and accurate manner. This position is staffed during clinic hours with support needed for weekend rotation, evening hours, and Urgent Care coverage.

Essential Duties and Responsibilities
  • Greeting patients in a friendly manner and answer any questions that may arise
  • Schedule provider appointments following clinic protocols
  • Schedule ancillary appointments including audiology, immunization, & lab
  • Verify all patient insurances per protocols
  • Verify demographic information, load patient insurance, request required information through pre-registration process, attach appropriate forms, and scan documents as necessary
  • Coordinate EMR messages
  • Obtain signatures on required forms such as PHI, release of records, and HIPAA
  • Receive and process patient same day payments and copays
  • Coordinate return to clinic notices
  • Adjust provider schedules as needed on a daily basis
  • Collaborating with healthcare professionals
  • Support evening, weekend rotation, and Urgent Care hours
  • Organize and maintain a clean efficient workspace and patient lobby
  • Perform other duties as assigned

  • Work independently using good judgment and prioritization skills
  • Attend relevant training sessions and departmental meetings
  • Abide by clinic protocols, ergonomic recommendations, and OSHA standards
  • Maintain confidentiality of all clinic information acquired through employment
  • Establish and maintain positive working relationships with patients, providers, internal personnel and personnel from other facilities
  • Adhere to the philosophy and provide comprehensive care according to a patient centered healthcare clinic
Working Conditions
  • Subject to interruptions, imposed deadlines and frequent problem-solving activities
  • Subject to hostile and emotionally upset patients, staff, and outside agencies

Physical Demands
  • Abide by ergonomic recommendations of the position
  • Must possess sight/hearing senses or use prosthetic devices that will enable these senses to function adequately
  • Sit for several hours
  • Subject to lifting and carrying supplies averaging 25 pounds
  • Repetitive motions involving use of phone and keyboard
Qualifications

Education: Minimum: High School Diploma or equivalent. Desired: Post‑secondary education or training in a health care setting.

Experience: Minimum: One year in a customer service oriented position. Desired: Experience in a clinical setting.
