Qualifications

  • Bachelor's degree in Healthcare Administration, Business Administration, CS or related field.
  • 5-7 years in healthcare scheduling, operations, or access management.
  • Minimum 3 years of supervisory or leadership experience.
  • Experience managing complex provider schedules across multiple sites/specialties.
  • Experience with QGenda or similar scheduling software preferred.

Responsibilities

  • Develop and maintain clinician schedules across clinics, acute care, telehealth, and residency programs.
  • Oversee scheduling templates and ensure accuracy, capacity utilization, and template integrity.
  • Audit and update scheduling workflows; coordinate changes with leaders.
  • Monitor schedules and ensure on-time coverage and compliance with policies.
  • Prepare reports and dashboards to improve patient access and provider productivity.
  • Supervise Scheduling Staff and related coordinators; provide coaching and development.
  • Lead scheduling-related process improvements and cross-training initiatives.

Job description

Established in 1980, the Greater Lawrence Family Health Center (GLFHC) is a multi-site mission-driven non-profit organization employing over 700 staff whose primary focus is providing the highest quality patient care to residents throughout the Merrimack Valley. Nationally recognized as a leader in community medicine (family practice, pediatrics, internal medicine, and geriatrics), GLFHC has clinical sites throughout the service area and is the sponsoring organization for the Lawrence Family Medicine Residency program.

GLFHC is currently seeking a Scheduling Manager to join our team. The Scheduling Manager oversees and optimizes clinician scheduling operations across GLFHC. This role is responsible for developing and maintaining provider and residency schedules, managing scheduling systems and processes, administering provider payroll and incentive compensation reporting, and leading scheduling-related improvement initiatives. The Scheduling Manager supervises Scheduling Staff, Group Coordinators, and Hospital Coordinators to ensure efficient operations, provider productivity, and patient access.

Scheduling & Coverage
  • Develop and maintain clinician schedules, including clinics, acute care coverage, telehealth, on-call rotations, rounding, residency, and precepting assignments.
  • Ensure schedules are completed within established timelines and provide adequate provider coverage.
  • Review and approve schedule changes, coverage requests, and provider assignments.
  • Coordinate scheduling adjustments related to onboarding, leaves, and other staffing changes.
  • Resolve scheduling conflicts and provider scheduling concerns.
  • Establish and maintain scheduling policies, procedures, and standards.
Template & Scheduling Management
  • Oversee provider scheduling templates to support patient access goals.
  • Audit templates for scheduling accuracy, capacity utilization, visit types, and template integrity.
  • Coordinate template updates with clinical and operational leaders.
  • Monitor scheduling requests and compliance with established workflows.
Systems & Reporting
  • Oversee scheduling systems and related workflows.
  • Maintain scheduling data integrity and system standards.
  • Partner with IT and vendors on system enhancements, training, testing, and implementation.
  • Prepare and administer clinician incentive compensation reporting.
  • Analyze provider productivity, scheduling, and compensation data.
  • Develop reports, dashboards, and recommendations to improve patient access, scheduling efficiency, and provider productivity.
Leadership
  • Supervise Scheduling Staff, Hospital Coordinators, and related personnel.
  • Provide coaching, performance management, and professional development.
  • Ensure cross-training and operational continuity within the department.
  • Foster a culture of accountability, collaboration, customer service, and continuous improvement.
  • Participate in organizational projects, committees, and initiatives.
Qualifications
Education
  • Bachelor's degree in Healthcare Administration, Business Administration, Computer Science, or a related field.
Experience
  • 5-7 years of experience in healthcare scheduling, operations, or access management.
  • Minimum of 3 years of supervisory or leadership experience.
  • Experience managing complex provider schedules across multiple specialties, departments, or locations.
  • Experience with QGenda, EHR scheduling systems, or workforce management platforms preferred.
  • Advanced proficiency in Microsoft Excel and Outlook.
  • Strong analytical, organizational, and problem-solving skills.
  • Exceptional attention to detail and ability to manage multiple priorities.
