Job summary

Senior Helpers of Bolingbrook & Southwest Suburbs is seeking an experienced Scheduling Manager to coordinate care for seniors. You will match caregivers with clients based on skills, preferences, and availability, and build schedules that ensure reliable, high-quality care.

In a fast-paced environment, you’ll resolve last-minute changes, maintain relationships with families and staff, and work with Client Services and Recruitment to keep staffing levels balanced.

Qualifications

  • 1–3 years of scheduling/healthcare coordination experience.
  • Strong organizational and time-management skills.
  • Excellent customer service and communication abilities.
  • Ability to stay calm and professional in a fast-paced environment.
  • Experience using scheduling software and Microsoft Office.
  • High school diploma or GED required.
  • Ability to pass a criminal background check.

Responsibilities

  • Match caregivers with clients based on skills, personality, availability, and client needs.
  • Build and maintain schedules that ensure reliable, high-quality care.
  • Quickly resolve call-offs, emergencies, and last-minute scheduling changes.
  • Maintain relationships with caregivers, clients, and families through proactive communication.
  • Coordinate staffing for new client starts and schedule changes.
  • Work with Client Services, Recruiting, and Leadership to ensure appropriate staffing levels.
  • Monitor caregiver availability, overtime, and schedule efficiency.
  • Track attendance, scheduling trends, and service delivery improvements.
  • Review scheduling records within WellSky or other scheduling software.
  • Participate in the rotating on-call schedule for after-hours scheduling support.

What You'll Do

  • Monitor caregiver availability, overtime, and schedule efficiency.
  • Track attendance, missed visits, and scheduling trends to improve service delivery.
  • Review and maintain accurate scheduling records within WellSky or other scheduling software.
  • Participate in the agency's rotating on-call schedule to provide after-hours scheduling support.
What We're Looking For
Required Qualifications
  • 1–3 years of scheduling, staffing, workforce management, logistics, dispatch, healthcare coordination, or home care experience is required.
  • Exceptional organizational and time-management skills.
  • Strong problem-solving and decision-making abilities.
  • Ability to remain calm and professional in a fast-paced, constantly changing environment.
  • Outstanding customer service and communication skills.
  • Comfortable managing multiple priorities simultaneously.
  • Experience using scheduling software and Microsoft Office.
  • High school diploma or GED required.
  • Ability to pass a criminal background check.
Preferred Qualifications
  • Home care, healthcare staffing, or senior living experience.
  • Experience with WellSky or similar scheduling software.
  • Bilingual candidates are encouraged to apply.
