Our client is seeking a highly organized, detail-driven Remote Scheduler / Coordinator to manage provider assignments, shift coverage, and calendar logistics. In this role, you will be responsible for building and maintaining accurate scheduling calendars, tracking shift extensions, and proactively resolving coverage gaps. You will serve as a crucial liaison between clinical providers, internal recruiting/account management teams, and client facility contacts to ensure continuous, error-free operational delivery.
Scheduling, Calendar & VMS/MSP Management
Build, update, and maintain comprehensive scheduling calendars, shift rosters, and assignment records within CRM and VMS/MSP systems with high accuracy.
Serve as the central point of contact for provider scheduling inquiries, shift confirmations, time-off requests, assignment start/end dates, extensions, and calendar changes.
Proactively monitor shift coverage to identify potential gaps, overlapping assignments, upcoming renewals, or scheduling conflicts well in advance.
Troubleshoot last-minute cancellations, call-outs, or emergency schedule changes by coordinating rapid backfill solutions with recruiters and account managers.
Track provider attendance, confirm shift completions, and support Support Services/Operations and Finance with accurate timecard collection and verification to ensure correct invoicing and payment.
Cross-Functional Operations & Stakeholder Communication
Communicate specific job details and client needs to recruiters to ensure alignment on candidate requirements and opportunities.
Receive candidate submittals from Recruiters and route qualified candidates to Account Managers for client presentation.
Draft and distribute confirmation letters, assignment paperwork, scheduling communications, and assignment updates to providers and clients.
Partner with Quality Assurance, Licensing, and Onboarding teams alongside Recruiters to ensure providers meet client-specific needs and start assignments on time.
Work collaboratively with recruiters and Account Managers to troubleshoot provider performance issues, resolve assignment challenges, and maintain ongoing contracts.
Establish and nurture strong, trust-based working relationships with assigned clients to promote customer loyalty and business growth.
Administrative & Compliance Standard
Enter and maintain accurate job, client, and provider details across CRM platforms and shared tools.
Meet daily, weekly, and monthly activity and accuracy metrics related to data entry, scheduling, documentation turnaround, and roster management.
Perform other operational and administrative duties as assigned.
Required:
High School Diploma required; Associate or Bachelor’s degree (BS/BA) preferred.
2+ years of experience in scheduling, operations coordination, logistics, administrative support, or customer-focused operations (preferably within healthcare, staffing, or customer service).
Exceptional attention to detail with a proven ability to manage complex calendars and high-volume scheduling logistics.
Proven written and verbal English communication skills (including strong phone and interpersonal skills) with a professional demeanor and customer-service mindset.
Proficiency in CRM platforms, Microsoft Excel / Google Sheets, calendar management software, and scheduling tools.
Full alignment with US working hours as a remote independent contractor.
Highly motivated, organized, and focused individual with a strong track record of hard work and process orientation.
Preferred:
Prior experience in healthcare staffing, locum tenens, clinical roster management, or managing multiple MSP/VMS platforms.
Familiarity with Vendor Management Systems (VMS) or workforce scheduling software.
Demonstrated ability to multitask, problem-solve, and remain calm under pressure when resolving urgent scheduling or assignment conflicts.
