Job summary

ABS Kids in San Diego is seeking a Scheduling Coordinator to organize Behavior Technicians by home location and match them to clients by residence. You will contribute to efficient scheduling in a mobile clinical environment and support a team of 30–40 medical providers.

You will maintain schedules in Central Reach, ensure HIPAA compliance, and collaborate with ABA Lead Scheduler. The role offers $18-$19 per hour, full benefits, a casual environment, and opportunities for advancement.

Qualifications

  • Minimum high school diploma; bachelor's degree preferred.
  • At least 1 year of customer service experience.
  • Experience in medical office scheduling preferred.
  • Scheduling experience in ABA or complex environments strongly preferred.
  • Strong organizational and communication skills.
  • Ability to prioritize and manage time effectively.
  • Independent worker who adapts quickly to policy changes.
  • Excellent phone etiquette and customer service.

Responsibilities

  • Fill permanent scheduling needs based on patient needs.
  • Proficient in software systems, Excel and Google Suite.
  • Update patient and staff availability in Central Reach.
  • Maintain up-to-date records on staff and patient availability.
  • Update databases with scheduling changes.
  • Modify and update patient schedules as necessary.
  • Address concerns with filling schedules with ABA Lead Scheduler.
  • Evaluate staffing needs per region.
  • Communicate all schedule changes to staff.
  • Analyze reports on scheduling status and service hours.

What would you do?
  • Fill permanent scheduling needs based on patient needs

  • Update databases with incoming schedule changes
  • Modify and update patient schedules as necessary
  • Address concerns with filling schedules/communication directly with ABA Lead Scheduler
  • Evaluate staffing needs per region
  • Communicate all schedule changes to appropriate staff
  • Analyze reports on scheduling status of cases and fulfillment of service hours
  • Utilize scheduling and reporting software to manage patient and staff schedules
  • Adhere to federal HIPAA regulations, as well as any company policies & procedures
Who are we looking for?
  • Minimum High School Diploma, Bachelor\'s Degree preferred
  • A minimum of 1 year of customer service experience
  • Prior medical office and/or scheduling experience preferred
  • Prior scheduling experience at an ABA service provider or in another relevant complex scheduling environment strongly preferred
  • Strong organizational and communication skills to build and foster effective relationships
  • Ability to prioritize work and good time management skills
  • Ability to work independently and adapt quickly to new policies and protocols
  • Must demonstrate excellent phone etiquette and exceptional customer service skills
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Computer literacy skills including Microsoft Office
