Essential Duties And Responsibilities
- Professionally answer multi-line phone system, triage inquiries, and direct calls appropriately.
- Schedule appointments accurately in the electronic medical records (EMR) and scheduling system, ensuring correct provider, service, and location selection.
- Place appointment confirmation calls and respond to voicemail messages in a timely and courteous manner.
- Handle inbound faxes, scan documentation into the EMR, and ensure timely routing to appropriate personnel.
- Proactively communicate appointment reminders, instructions, and any changes to patients.
- Maintain and manage provider schedules, adjusting appointments when necessary to optimize flow and minimize downtime.

Essential Duties And Responsibilities
Scheduling & Communication
- Professionally answer multi-line phone system, triage inquiries, and direct calls appropriately.
- Schedule appointments accurately in the electronic medical records (EMR) and scheduling system, ensuring correct provider, service, and location selection.

Referral and Authorization Management
- Receive, process, and follow up on patient referrals with urgency and attention to detail.
- Verify insurance benefits and secure authorizations or referrals required for scheduled services.
- Maintain accurate records of all referral and authorization activities for compliance and audit readiness.
Administrative & Office Support
- Greet and assist walk-in patients with scheduling, paperwork, and general inquiries.
- Collaborate with clinical staff to ensure continuity of care and accurate scheduling post-visit.
- Support front desk operations as needed, including patient check-in/out during high-volume periods.
- Contribute to cross-training efforts and provide coverage for other administrative roles when needed.
Patient Service Excellence
- Serve as a concierge-level liaison between patients and the clinic, delivering superior service with a warm, solution-oriented approach.
- Explain scheduling processes, answer patient questions, and resolve concerns in a professional, empathetic manner.
- Uphold patient confidentiality and follow all HIPAA guidelines rigorously.
- Cultivate a welcoming and calming presence, especially for surgical patients who may feel anxious or uncertain.
Qualifications
- High school diploma or equivalent required.
- Minimum 1 year of recent (within the last 12 months) experience in a medical office or scheduling position required.
- Proven ability to handle a fast-paced, high-call-volume environment with professionalism and accuracy.
- Familiarity with private insurance and Medicare; experience obtaining authorizations preferred.
- Proficiency in EMR systems and general computer applications.
- Bilingual (Spanish) highly preferred.
- Prior experience in sales or a customer service–heavy environment strongly preferred.
PHYSICAL DEMANDS
- Ability to lift/carry up to 25 lbs.
- Frequent standing, walking, sitting, and use of hands.
- Regular use of computer and phone systems for extended periods.
- Occasional reaching, bending, and crouching.
WORKING ENVIRONMENT
- Busy clinic with moderate noise and frequent interruptions.
- Exposure to video display screens and office equipment.
- May require occasional travel to alternate clinic locations as needed.
