Position: Scheduler – Physician Office - St. Francis Medical Center - Midlothian, VA

Work week: Monday through Friday.

PRIMARY FUNCTION / GENERAL PURPOSE OF POSITION

Under the supervision of the Department Supervisor or Manager, the Scheduler is responsible for accurately scheduling appointments, registering patients, verifying pre-authorizations and referrals, confirming and maintaining patient diagnostic appointments, surgeries, and consultations. The Scheduler pre-registers patient appointments across departments and handles related tasks, including work queue management and incoming calls for Bon Secours - Tuckahoe Orthopedics clinics, hospitals, and ambulatory surgery center.

The Scheduler also ensures accurate documentation of patient information for hospital and physician records, governmental requirements, billing, and third-party payers. Providing courteous and efficient service to patients, the Scheduler verifies pre-registration information professionally and promptly with the care team.

ESSENTIAL JOB FUNCTIONS:
  • Accurately schedule patient appointments and maintain detailed records.
  • Notify staff of special needs or interpretation services required for visits.
  • Enter demographic, insurance, guarantor, PCP, workers compensation, and third-party payor information into the system.
  • Answer phones and coordinate with physicians, clinical staff, and leadership to build daily schedules, adjusting for provider time off.
  • Work independently with minimal supervision.
  • Confirm appointments with external organizations for referrals.
  • Participate as a team member and perform additional duties as needed, including cross-training support roles.
REQUIRED QUALIFICATIONS:
  • High School Diploma
  • At least one year of computer experience
  • Strong customer service skills
  • Excellent interpersonal, oral, and written communication skills
  • Good knowledge of medical terminology
PREFERRED QUALIFICATIONS:
  • Bilingual abilities (not required)
  • College education or equivalent experience
  • Typing speed of 50 words per minute with accuracy
  • Experience in customer service
OTHER FUNCTIONS:
  • Clear diction and audio acuity for effective communication.
  • Schedule appointments using computerized systems.
  • Recognize and respond to urgent/emergent situations per protocols.
  • Build and maintain effective relationships with staff and physicians.
  • Manage job stress effectively.
  • Document work processes as required.
  • Perform other duties as assigned, supporting other departments when needed.
  • Adhere to organizational policies and demonstrate professional behavior at all times.
