  • Communicates daily schedules, reviews revisions with staff, and disseminates updated information.
  • Acts as liaison to internal departments, external resources, and agencies.
  • Ensures paperwork and preauthorization are obtained; processes referrals for procedures.
  • Maintains documentation of procedures and resources; tracks services and captures equipment usage; logs revisions as needed.
  • Contracts with vendors to coordinate delivery of equipment and resources to patients' homes as required.

The Scheduler II will join the Cardiothoracic Surgery Department at The Lahey Clinic. This role will be fully onsite in Burlington, MA.

Job Description

Coordinates the scheduling for patient procedures and services.

Essential Responsibilities
  • Schedules patients for procedures; post‑operative appointments, pre‑admission testing, testing, surgery, follow‑up and wait‑list process. Notifies patients in person and via mail of scheduled procedures, ensuring all communications are timely and provide complete details of procedure, location, and time and required. Provides patients with information pertaining to testing and surgery.
  • Maintains multiple applications for scheduling of procedures and collection of patient data. Schedules location of procedure, medical staff, and clinical resources; completes accurate and timely journal entries; collaborates with internal and external partners to obtain resources; maintains physician and/or surgeon schedules; registers patients and ensures demographic data is entered accurately.
  • Communicates schedules on a daily basis, reviews with advisor, updates staff with revisions, and posts schedules.
  • Acts as liaison to internal departments, external resources, and agencies.
  • Coordinates to ensure all paperwork is complete and preauthorization has been obtained; obtains and processes referrals for procedures.
  • Oversees documentation of procedures and resources; maintains and tracks services and procedures to ensure procedures and equipment usage are captured; generates logs for review and enters revisions; coordinates to ensure all paperwork is complete and preauthorization has been obtained.
  • Contracts with vendors to coordinate delivery of equipment; coordinates delivery to patient’s residence; ensures resources for procedures are maintained and available for scheduled procedures.
Required Qualifications
  • High School diploma or GED required.
  • 3–5 years related work experience required.
  • Experience with computer systems required, including web‑based applications and some Microsoft Office applications such as Outlook, Word, Excel, PowerPoint, or Access.
  • All staff must be vaccinated against influenza as a condition of employment.
Pay Range

$21.53 – $28.97
