Job summary

SCRI Oncology Partners in Nashville, TN, seeks an experienced Scheduler to coordinate patient appointments, tests, and calls under supervision. You will route inquiries to the right team, handle referrals and radiology scheduling, and ensure proper documentation in EMR.

Qualifications include a high school diploma, 2–5 years of office experience in a medical setting, knowledge of medical terminology, and excellent communication skills. Proficiency with Microsoft Office is required.

  • Schedule patient appointments, external referrals, and radiology as needed.
  • Enter and track authorizations and correspondence in EMR where applicable.
  • Maintain scheduling templates for physician meetings, satellite schedules, rounding and call coverage.
  • Coordinate with patients for financial counseling as needed.
  • Protect patient confidentiality and follow HIPAA guidelines.
  • Assist front office with other tasks and cover as needed.
  • Prepare correspondence, memos, and forms as requested by supervisor.
  • Provide guidance to junior staff when required.
  • Communicate scheduling details to patients and clinicians and ensure pre-operative testing is completed when required.

Overview

SCRI Oncology Partners, located in Nashville, Tenn., is a dedicated cancer treatment center led by globally recognized oncologists with disease expertise in cancer care and clinical research. This center offers patients state-of-the art personalized cancer care and opportunities to participate in clinical trials with innovative treatments. The practice conducts clinical trials through their affiliation with Sarah Cannon Research Institute (SCRI), a global leader in oncology research that has been offering and managing clinical trials in the community for over 30 years. Since its inception, SCRI has contributed to pivotal research that has helped advance the majority of new cancer therapies approved by the FDA today.

SCOPE

The Scheduler is responsible for efficiently coordinating patient appointments, diagnostic tests, and incoming calls under general supervision. Routes inquiries to appropriate personnel and serves as a liaison between patients and the medical team. May include outside referral and/or radiology scheduling duties. Adheres to the US Oncology Compliance Program, Code of Ethics, and Business Standards.

Responsibilities
  • Answers all incoming inquiries; assesses needs and directs to appropriate personnel. Pages clinic personnel as appropriate. Obtains and communicates messages in an accurate and timely manner.
  • Schedules patient's external referrals and returning patients in computer system in accordance with physician and/or office guidelines. Cancels/reschedules appointments according to physician schedule changes; notifies appropriate clinic personnel.
  • Obtains and enters all authorization and correspondence relating to referrals in patients' charts and/or electronic medical records (EMR).
  • Maintains primary office scheduling template containing all physician meetings, satellite schedule, rounding and call coverage.
  • Arranges for patients to have financial counseling as needed.
  • Demonstrates an understanding of patient confidentiality to protect the patient and clinic/practice.
  • Follows policies and procedures to contribute to the efficiency of the front office. Covers for other front office functions as requested.
  • Prepares correspondence, memos, forms and other typing as requested by supervisor.
  • May provide guidance and daily work direction to junior level staff.
  • May communicate to patient about surgeries or tests being scheduled and potential prep work needed, inquiring about test specifics from necessary parties and gathering patient information as needed
  • May be responsible for follow up on all pre-operative tests to ensure cleared for surgical procedure and communicates with physician and patients if further testing is required before surgery is performed.
  • May be responsible for scheduling post-operative follow up appointments with Physicians.
  • Where applicable, basic understanding of medical terminology for tests and surgical procedures, including coding and ability to look up codes specific to diagnosis, surgery and scheduling procedure.
Qualifications

  • Must have excellent communication skills, written and verbal. Proficiency in Microsoft Office (Outlook, Word, Excel) required
