Job description

Under limited supervision, the Scheduler provides administrative, project coordination, and clerical support to the Board of County Commissioners (BoCC). A core responsibility of this role is managing complex, high volume scheduling for multiple Commissioners, ensuring seamless coordination of meetings, public engagements, and rapidly evolving priorities. Working in a fast paced environment with elected officials, the Scheduler must demonstrate professional discretion, sound judgment, and the ability to handle sensitive information while delivering outstanding customer service to internal and external stakeholders. The role requires agility, accuracy, and proactive communication to support the Commissioners effectively, coordinate multifaceted activities, and serve as a key point of contact for constituents and County departments.

  • Manage, schedule, and maintain a comprehensive calendar of Board activities, meetings, events, conferences, and civic engagements. Coordinate logistics, prepare materials, and facilitate communication among County departments, the public, and external agencies.
  • Perform a broad range of administrative tasks, including drafting reports, preparing agendas, recording minutes, maintaining detailed records, verifying information, researching discrepancies, and organizing financial or statistical data.
  • Review and proofread reports, letters, memos, and other written materials to ensure accuracy, clarity, and proper formatting.
  • Respond to constituent inquiries, determine appropriate routing, and ensure timely follow-up and resolution.
  • Develop and maintain filing, tracking, and recordkeeping systems. Conduct research within assigned areas and prepare reports or follow-up documentation as needed.
  • Process invoices, maintain billing and budget-related records, and manage incoming and outgoing mail.
  • Support special projects and assignments as directed by the Board or administrative leadership.
  • Serve as a backup for colleagues within the Constituent Services and Administrative team as needed.
  • Perform other duties and responsibilities as required.
Communication
  • Communicates professionally with executives, staff, constituents, and external partners using sound judgment and discretion.
  • Produces clear, accurate, and professional written communications, with appropriate grammar, spelling, and punctuation. Skilled in business letter writing, basic report development, and preparing independent correspondence.

  • Produces accurate, organized, and high-quality work while maintaining confidentiality; able to compile, maintain, and manage complex records and prepare routine reports.

Experience

At least three (3) years of experience performing responsible executive assistant office support.

Education and Training
  • High school diploma or GED required, supplemented by coursework in business, finance, bookkeeping, administration, or related fields.
  • Bachelor’s degree preferred.
  • College-level coursework in Business Administration, Finance, Bookkeeping, Computer Science, or related areas is desired.

License or Certificate: None.
