Job summary

Western Hills Retirement Village is seeking a Scheduler to coordinate staffing for our nursing team and ensure residents receive consistent, high-quality care. You will develop and maintain the master schedule, manage changes, and communicate updates across departments.

The role requires a minimum of 2 years in healthcare scheduling, strong organizational and communication skills, and proficiency with Microsoft Office. This is a full-time, on-site position with competitive pay and benefits.

Qualifications

• High school diploma or equivalent required.
• Minimum of 2 years healthcare scheduling experience, preferably in a skilled nursing setting.
• CNAs is preferred but not required.
• Proficiency in Microsoft Office (Word, Excel, Outlook).
• Excellent communication and organizational skills.

Responsibilities

• Develop and maintain the master schedule for nursing staff, ensuring coverage 7 days a week.
• Manage scheduling changes, including shift swaps, call-offs, and time-off requests.
• Communicate scheduling updates clearly with nursing staff, supervisors, and other departments.
• Collaborate with nursing leadership to align staffing with resident care needs and regulatory requirements.
• Ensure scheduling documentation, time sheets, and payroll records are accurate and completed on time.
• Assist with onboarding new hires by coordinating schedules and training timelines.
• Stay current on staffing regulations and adjust schedules to ensure compliance.
• Track and report on scheduling metrics such as overtime and turnover to identify improvements.
• Communicate professionally with staff, residents, families, and vendors.
• Follow all facility policies, including infection control, safety, and HIPAA guidelines.

Your Role as a Scheduler:

• Assist with onboarding new hires by coordinating schedules and training timelines
• Stay current on staffing regulations and adjust schedules to ensure compliance

• Communicate professionally with staff, residents, families, and vendors
• Follow all facility policies, including infection control, safety, and HIPAA guidelines

• Perform other duties as assigned

What We're Looking For:

• High school diploma or equivalent required
• Minimum of 2 years of healthcare scheduling experience, preferably in a skilled nursing setting
• CNA experience preferred
• Strong communication and interpersonal skills
• Ability to work independently and collaboratively
• Excellent organizational and time-management skills
• Proficiency in Microsoft Office (Word, Excel, Outlook)
• Compassionate and team-oriented mindset
• Ability to remain calm in a fast-paced or high-pressure environment
• Must be in good general health and free of communicable diseases
• Ability to meet physical requirements including standing, walking, bending, and assisting residents
• Ability to lift up to 25 lbs independently and up to 175 lbs with assistance
• Ability to read, write, and speak English
