Description
We are representing our long term clients in seeking a full time P.A/House Manager for their home in Russian Hill. This is a fully on-site position. Local candidates only
CLIENT OBJECTIVE
- Trusted right hand to a private family with two young children, serving as the liaison between the household and the broader team that supports the principals professionally.
- Approximately 85% personal assistant work (household, family, and lifestyle support) and 15% calendar coordination working in Outlook alongside the business EA team to keep the principal’s personal and business calendars aligned so he can reliably show up for family commitments.
- Sits within a five-person coverage structure providing 24x7x365 support across the principals' business and personal needs, so every team member can fully disconnect during PTO and off weekends while coverage stays seamless.
QUALIFICATIONS AND CHARACTER SKETCH
- At least five years supporting UHNW principals or families as a personal assistant, executive assistant, or senior household coordinator.
- Genuinely Type A: meticulous with details, highly consistent, and rigorous about follow-through — reliably completes recurring responsibilities, like daily reporting, without needing reminders.
- Has the backbone to hold vendors and service providers to a high standard, including initiating direct conversations when work or conduct doesn't meet expectations.
- Naturally high awareness of cleanliness and household hygiene standards, and comfortable enforcing protocols consistently with staff and vendors, especially new ones.
- Comfortable and experienced supporting young families, ideally with toddlers or young children.
- Comfortable caring for and attentive to the needs of a family dog.
- Proficient with Outlook calendar management and comfortable coordinating closely with a business EA team rather than working in isolation.
- Strong written and verbal communication skills; able to draft correspondence in the principals' voice.
- Absolute discretion with sensitive personal and business-adjacent information.
- Valid driver's license; strong local knowledge of the Bay Area strongly preferred.
- Proactive self-starter with a long-term mindset and genuine interest in becoming a trusted, valued member of the family's support team.
- Able to perform the essential functions of the role with or without reasonable accommodation, and to work legally in the United States.
- If this position meets local, state, or federal criteria for a pre-employment candidate credit check, one may be ordered after a signed FCRA acknowledgement is retained (credit checks are legally prohibited in New York City and Washington, D.C.).
GENERAL RESPONSIBILITIES
Household Management
- Manage personal and family calendars, appointments, and commitments — anticipating needs, deadlines, and conflicts before they arise.
- Serve as the liaison between the family and household staff, directly overseeing the household's housekeeping staff, who report to this role.
- Maintain the family's household tracker and send a completed update to the principal every weekday by 6pm, without needing reminders to do so.
- Default to overcommunicating with the principal: text a status update whenever work is completed or a project reaches a new stage, in addition to reflecting it in the daily tracker — both channels are expected, not one or the other.
- Own the household's recurring services schedule (pet care, chef drop off, dry cleaning, etc.) proactively communicating the family's travel calendar to each provider.
- Enforce consistent protocols with every vendor and service provider working in their SF home: shoes off or shoe covers required at all times, with heightened attentiveness for new or infrequent workers; restricted restroom access, with a single approved restroom designated for longer jobs; and monitoring whenever vendors are working in bedrooms or other private areas.
- Ensure every vendor or contractor completes the full scope of a job before leaving, confirming all details are fully restored to their proper state.
- Coordinate ongoing home maintenance and repairs, scheduling larger projects (e.g., painting) for weekends while the family is traveling.
- Schedule and coordinate routine car maintenance, servicing, registration renewals, and repairs for family vehicles.
Pet Care
- Maintain a profile for the family's dog, including vet contacts, vaccination records, and dietary or behavioral notes.
- Coordinate the dog's recurring schedule (dog walker, dog groomer and concierge vet care as needed).
- Source and replenish dog food and supplies.
Travel Planning
- Work with travel agent to book all travel logistics — private aviation, hotels, ground transportation, dining reservations, and activities — including passenger manifests, catering, and last-minute charter changes.
- For family travel, arrive at the destination ahead of the family to set up before their arrival, remaining on-site through some or all of the trip to manage logistics in real time — including the family's recurring annual trips to Nantucket every August and Hawaii every winter.
- Create detailed itineraries with contingency plans, and proactively troubleshoot delays or disruptions.
- Maintain all travel documentation in current order: passports, visas, Global Entry, and travel insurance for all family members.
Family & Child-Related Logistics (light/backup)
- Maintain light visibility into the preschool and nanny's schedule for both children as a backup reference, without owning day-to-day child logistics.
- Assist with family travel involving toddlers only as needed (e.g., packing or supplies) when requested.
Personal Support & Errands
- Build and maintain profiles for each family member — preferences, sizes, important dates, and favorite vendors — updating as needs evolve.
- Oversee household stocking (groceries, toiletries, supplies).
- Support event planning and execution for family occasions (birthdays and similar milestones), with strict attention to timing and consistency.
- Handle personal errands and returns — retail exchanges as well as outgoing shipments and post office drop-offs on a weekly basis — plus other time-sensitive tasks and occasional ad hoc requests.
- Oversee mail and correspondence, and draft personal correspondence on behalf of the principals in a polished, appropriate voice.
Calendar Coordination with Business EAs (~15%)
- Proficient in Outlook, actively managing and cross-referencing Principal's calendar alongside the business EA team so his personal and business calendars stay aligned and he can reliably attend personal functions and family commitments.
- Flag scheduling conflicts between business and personal commitments early, and work with the business EAs to resolve them.
- Stay current on the family's and business team's scheduling conventions so calendar coordination is seamless on both sides.
COMPENSATION AND TERMS
- Compensation is commensurate with qualifications and experience: $185K–$200K.
- Full medical dental vision which includes dependents, and 401k matching and discretionary bonus
- General work schedule is Monday through Friday, with flexibility to work additional hours evenings or weekends as part of the rotating coverage structure and for larger household projects.
- Standard PTO (paid vacation, personal or sick time) on an accrued basis, plus standard paid holidays.
